Job Description
: 1. Calendar Management: Coordinate and manage the Managing Director's schedule, including organizing meetings, appointments, and travel arrangements. 2. Communication Handling: Act as the primary point of contact for internal and external communications, screening calls, managing emails, and handling inquiries. Draft, review, and edit correspondence, reports, and other documents as required. Ensure accuracy and professionalism in all communications. 3. Documentation and Correspondence: Prepare and edit correspondence, reports, presentations, and other documents as required. Manage and organize documents, files, and records related to the. Managing Director's office. 4. Meeting Coordination: Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items. 5. Office Management: Assist in maintaining the efficiency of the executive office by managing office supplies, coordinating with other departments, and handling administrative tasks as needed. 6. Special Projects: Assist in special projects and assignments as directed by the Managing Director. Conduct research, prepare reports, and contribute to various initiatives. 7. Task Delegation: Assist in prioritizing tasks and responsibilities, and delegate appropriate tasks to support staff as necessary. 8. Travel Availability: Willingness and ability to travel, as required, to assist the Managing Director in off-site meetings, conferences, or other business-related events. Requirements: 1. Proven experience as an executive secretary or similar administrative role. 2. Excellent organizational and time-management skills. 3. Strong communication and interpersonal abilities. 4. Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook). 5. Ability to handle confidential information with discretion. 6. Strong problem-solving skills and attention to detail. 7.
