Job Summary: The Secretary to the CEO will be responsible for managing administrative and executive tasks to support the CEO, including email correspondence, HR-related tasks, document management, and assisting with the preparation and submission of tender-related documents. The role will require strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. Key Responsibilities: Email Management: Handle all email correspondence on behalf of the CEO, prioritizing and responding to emails where necessary, and ensuring important matters are flagged and dealt with promptly. Admin Support: Provide general administrative support to the CEO, including scheduling meetings, managing appointments, and maintaining the CEO's calendar. BOQ Uploading: Upload and maintain BOQ documents for ongoing and upcoming tenders, ensuring accurate and timely submissions. Tender Documentation: Assist with the preparation and uploading of catalogs and other tender-related documents to the appropriate platforms. HR Assistance: Assist with HR functions, including organizing recruitment activities, maintaining employee records, and ensuring smooth communication with HR teams. Document Management: Organize and maintain files, records, and other documents as required, ensuring they are easily accessible and properly stored. Communication Liaison: Act as the point of contact between the CEO and other staff or external parties, ensuring clear and effective communication. Other Tasks: Handle other tasks as assigned by the CEO or other executives. Required Skills and Qualifications: Proven experience as a secretary or in an administrative role, preferably in a corporate environment. Excellent communication skills, both written and verbal. Strong organizational and time-management skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with cloud-based platforms. Knowledge of HR and administrative processes. Ability to handle sensitive and confidential information with discretion. Attention to detail and accuracy. Preferred Qualifications: Experience in handling tender submissions and document uploads. Familiarity with BOQ (Bill of Quantities) and catalog management. Previous experience supporting C-level executives is a plus.
