Job Description

Job Overview

This role is responsible for end-to-end HR contract management and invoice processing, including vendor onboarding, agreement drafting, repository and MIS maintenance, renewal tracking, and payment coordination with Finance. Additionally, the role will support key HR operational activities. The ideal candidate will demonstrate strong organizational and communication skills, with the ability to collaborate effectively with internal departments and external vendors to ensure smooth HR and administrative processes.

Contract Management & Invoice processing

  • Create Vendor Profile and Engagement on RSA Portal and follow up with respective department heads for approvals.
  • Maintain a centralized repository of all active and historical HR contracts for easy reference and audit compliance.
  • Update and manage MIS to track all HR contracts, and renewal.
  • Proactively notify stakeholders of upcoming contract expirations and renewal deadlines to ensure business continuity.
  • Oversee the preparation and initial drafting of agreements, share drafts with internal stakeholders for review and feedback, and maintain accurate tracking of draft statuses, approvals, renewals, and expirations.
  • Review and verify vendor invoices and supporting documentation prior to processing.
  • Initiate payment workflows in the tool in alignment with contractual terms.
  • Maintain an up-to-date payment tracker
  • Liaise with the Finance team to follow up and ensure timely processing and closure of vendor payments as per agreed timelines.

HR Operations Support

  • Maintain updated records provide weekly reports, highlighting pending cases for new joiner, existing employees.
  • Managing enrolment of all employees (new hires & Transfer) in medical insurance & group insurance and sharing with Insurance SPOC
  • Ensure that new joiners have the resources required by coordinating with relevant departments for the following:
  • Arrangement of assets: Parking Card, Building Access, employee ID card & Office Access Card, IT assets including Laptop, Email id creation for new joiners/as per request received, Seating confirmation from Admin.
  • Sharing of weekly attendance and leave reports.
  • Assist with employee document attestation and support the offboarding process through clearance follow-ups with respective SPOC

Education

  • Graduation/Post graduation degree.

Experience

  • 3-5 years of relevant work experience.
  • Prior experience in Vendor/Contract management and, invoice processing will be an added advantage.
