Job Description

    You will be working as a Personal Secretary to the Managing Director and your main responsibility will be to provide administrative and secretarial support to the MD. Your role will involve managing the daily activities, ensuring smooth operations, and handling various tasks efficiently. Your key responsibilities will include: Administrative Support: - Managing the calendar, scheduling meetings, and coordinating appointments. - Handling all correspondence such as emails, letters, and phone calls on behalf of the MD. - Preparing and organizing documents and reports. Travel and Event Management: - Planning and booking travel arrangements, including flights, accommodations, and itineraries. - Coordinating and organizing events, conferences, and business gatherings. - Ensuring seamless logistics for meetings and events. Communication and Liaison: - Serving as the primary point of contact with internal and external stakeholders. - Maintaining effective communication and timely follow-ups for task execution. - Representing the MD professionally in their absence and addressing key matters. Task and Time Management: - Prioritizing and managing multiple tasks simultaneously to meet deadlines. - Maintaining a to-do list and providing regular updates on pending tasks. - Proactively handling operational requirements. Confidentiality and Record Keeping: - Maintaining confidentiality on sensitive information and business matters. - Organizing and managing files, records, and important documents for easy retrieval. - Safeguarding critical business and personal information with discretion. Office Coordination: - Coordinating with departments to ensure smooth workflow and communication. - Assisting with personal tasks and errands when required. Qualifications and Skills: - A Bachelor's degree in Business Administration, Secretarial Studies, or a related field. - Over 20 years of experience as a personal secretary or executive assistant. - Exceptional organizational and multitasking skills. - Strong written and verbal communication abilities. - Ability to maintain professionalism and confidentiality. This is a full-time position with a day shift schedule, requiring at least 10 years of experience in secretarial work. Proficiency in Kannada and English languages is necessary, with fluency in English being a requirement. The work location is on-site.,
