Job Description

Admin Executive Project Site Office & Warehouse

Location: Charkop, Kandivali

CTC Range: 2.5 3.0 LPA
Employment Type: Contract Basis

Joining Requirement: Immediate (within 15 days)


Role Overview

The Admin Executive will be responsible for managing the day-to-day administrative operations of the project site office and warehouse. The role involves ensuring smooth administrative workflows, handling documentation, managing inventory, and maintaining compliance with safety and quality standards. The ideal candidate will be detail-oriented, organized, and capable of multitasking in a fast-paced project environment.


Key Responsibilities

1. Office Administration

  • Oversee general administrative functions at the project site office.
  • Manage office supplies, equipment, and resources to ensure smooth operations.
  • Maintain office cleanliness, security, and efficient workspace management.

2. Documentation & Correspondence

  • Draft, prepare, and submit official letters, memos, and reports as required.
  • Handle incoming and outgoing correspondence (emails, letters, calls) efficiently.
  • Maintain proper documentation and records for all project-related communications.

3. File Management

  • Organize and maintain physical and electronic filing systems for project documents.
  • Ensure easy retrieval and confidentiality of critical records.

4. Warehouse Operations & Inventory Control

  • Supervise receiving, storing, issuing, and dispatching of materials/equipment.
  • Maintain accurate inventory records and track stock levels using a computerized system.
  • Coordinate with procurement and logistics teams for timely material deliveries.
  • Optimize warehouse space and ensure systematic arrangement of inventory.

5. Safety, Quality & Compliance

  • Ensure adherence to safety regulations in the office and warehouse.
  • Conduct regular safety inspections and report potential hazards.
  • Maintain compliance documentation for audits and inspections.
  • Support internal/external audits related to administrative and warehouse operations.

Required Skills & Qualifications

Education:

  • Diploma OR
  • Graduation

Experience:

  • 2-3 years of experience as an Admin Executive, preferably in construction/project sites or warehouse management.

Technical Skills:

  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Familiarity with inventory management software/systems (preferred).

Soft Skills:

  • Strong organizational and time management abilities.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy in documentation.
  • Problem-solving mindset with the ability to multitask.
  • Ability to work independently and collaboratively with teams.
  • Professional interpersonal skills for stakeholder coordination.
