Position Statement:
Maintain office services by organizing office operations and procedures. Follow SoPs set for office decorum and handle office admin staff
Position Summary:
KEY RESPONSIBILITIES
- Meet and greet guests arriving at the office, maintain office decorum, and ensure the guests meet the people as per the appointments.
- Act as an office manager by keeping up with office supply inventory
- Handle the admin staff and ensure office admin activities are closed
- Manage emails, information, and other communications; answer where possible highlight and prioritize those that need MD attention
- Plan and maintain MDs calendar and recurring tasks, arrange appointments, organize and set agendas and action points for all his meetings
- Act as follow-up Manager across the Board and Senior Leadership Team to ensure that a wide range of agreed actions is being executed.
- Liaise with the operations team and book transport and accommodation as and when required for the MD / senior leadership. Attend Senior Leadership Team meetings, off-sites, and other strategic meetings to take notes and action points
- Collaborate effectively with all staff, clients, and suppliers
- Manage information flow in a timely and accurate manner
- Manage executives calendars and set up meetings
- Format information for internal and external communication memos, emails, presentations, reports
ROLE REQUIREMENTS & DELIVERABLES FOR OFFICE MANAGER
- Previous EA / Office manager experience
- Exceptional organizational skills of self and others and ability to work without supervision
- Maintain 100% confidentiality, demonstrate diplomacy and tactfulness
- Use polished communication skills, both verbal and non-verbal to influence and persuade
- Ability to remain calm under pressure and manage conflicting priorities
- Strong Microsoft Office Skills
- Ability to take and record accurate notes/minutes in complex meetings
- Accountable and committed to the task at hand

- Approachable to clients and colleagues
Required Qualifications
Graduate / Post-Graduate in any discipline
- >4 years of experience as an office manager
- Preferably be from Travel / Tourism / Hospitality domain
- Proficient in English and Hindi. Knowledge of Marathi is an added advantage
