Designation: Personal Assistant

Location : ahmedabad

Responsibilities:

1.Administrative Support: Assist in managing calendars, scheduling appointments, and arranging meetings for company executives. Handle correspondence, phone calls, and emails efficiently and professionally. Prepare and maintain documents, reports, and presentations.
2.Event Coordination: Collaborate with the event planning team to organize and execute events. Assist in researching venues, vendors, and suppliers. Coordinate logistics such as venue bookings, equipment rentals, catering, transportation, and accommodations. Assist in creating event timelines and managing event budgets.
3.Travel Arrangements: Make travel arrangements for company executives and event staff, including flights, accommodations, ground transportation, and visa arrangements if necessary. Ensure all travel plans are well-organized and within budget.
4.Communication and Relationship Management: Act as a point of contact for clients, vendors, and partners. Communicate event details, updates, and requirements effectively. Maintain positive relationships and provide excellent customer service.
5.Financial Support: Assist in budget management and expense tracking for events. Process invoices, payments, and reimbursements accurately and in a timely manner. Collaborate with the finance department to ensure financial records are up to date.
6    Information Management: Maintain a well-organized filing system for documents, contracts, and event-related materials. Manage databases and contact lists. Conduct research as needed to gather information for events or projects.
7.Problem Solving: Proactively identify and address issues that may arise during event planning and execution. Provide creative solutions to ensure events run smoothly and meet or exceed client expectations.

Qualifications: High school diploma or equivalent. Additional certification in event management or related fields is a plus.
Excellent organizational and time management skills with the ability to prioritize tasks effectively.
Strong attention to detail and problem-solving abilities.
Exceptional communication and interpersonal skills.
Proficient in using office productivity software (e.g., Microsoft Office suite, Google Workspace).
Familiarity with event management software and tools is desirable.
Ability to work independently and as part of a team in a fast-paced environment.
