With our eyes set on the future, we are looking for an energetic, outcome-oriented Talent Acquisition Coordinator to join our HR team and support the talent acquisition process for our US operations. As a Talent Acquisition Coordinator, you will play a critical role in ensuring the smooth and efficient execution of recruitment activities. You will provide administrative support to the Talent Acquisition team, coordinate interviews, assist with candidate sourcing, and contribute to the overall success of our hiring efforts.

Key Responsibilities:

Recruitment Coordination:

  • Schedule and coordinate candidate interviews, including phone screens, in-person interviews, and video conferences.
  • Coordinate interview logistics, such as booking meeting rooms, arranging travel for candidates, and ensuring technical setup for virtual interviews.
  • Communicate interview details, including schedules and directions, to candidates and internal stakeholders.
  • Collect and distribute interview feedback and assessment forms to the appropriate parties.
  • Update and maintain candidate information in the applicant tracking system (ATS) or recruitment database.

Candidate Sourcing and Screening Support:

  • Assist with sourcing and screening candidates through various channels, including job boards, social media, and internal databases.
  • Review candidate resumes and applications, conduct initial screenings, and assist in shortlisting qualified candidates.
  • Conduct reference checks and employment verifications as required.
  • Ensure timely and accurate communication with candidates regarding the status of their application and next steps in the recruitment process.

Recruitment Administration:

  • Prepare offer letters, employment contracts, and other recruitment-related documentation.
  • Coordinate pre-employment checks, including background checks and drug screenings, ensuring compliance with applicable laws and regulations.
  • Facilitate the completion of new hire paperwork and ensure a smooth onboarding process for selected candidates.
  • Assist with maintaining accurate and up-to-date records of recruitment activities, including applicant flow and hiring metrics.

Employer Branding and Candidate Experience:

  • Support employer branding initiatives by ensuring consistent and positive candidate experiences throughout the recruitment process.
  • Assist in drafting and posting engaging job advertisements and descriptions on various platforms.
  • Collaborate with the Marketing team to ensure that the company's employer brand is accurately represented in recruitment materials and communications.

Recruitment Process Improvement:

  • Identify opportunities to streamline and improve recruitment processes, including automation, technology utilization, and best practices.
  • Collaborate with the Talent Acquisition team to implement process enhancements and ensure efficient workflow.

What will you need to succeed in this role?

  • Strong organizational and time management skills, with the ability to prioritize and handle multiple tasks simultaneously.
  • Excellent attention to detail and accuracy in managing candidate and recruitment data.
  • Strong verbal and written communication skills, with the ability to effectively interact with candidates, internal stakeholders, and external contacts.
  • Proactive and self-motivated approach to work, with the ability to work independently and as part of a team.
  • Familiarity with employment laws and regulations in the US region.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and other recruitment-related software/tools.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent work experience).
  • Minimum of 1 year of experience in talent acquisition, recruitment coordination, or a similar administrative role.
  • Solid understanding of recruitment processes, including candidate sourcing, screening, and interviewing.
  • Proficiency in using applicant tracking systems (ATS) or recruitment databases.
