Job Description

The Purchasing Manager is responsible for building and maintain client relationships, achieving set budgets, business retention, targeted growth, site selection, vendor contract negotiation and execution, savings generation, budgeting, data management and client management of assigned meetings. The role will also involve having strong supplier relationships to ensure the best financially for the client and BCD. They will be responsible for acting as back up for Teammates as necessary.
Your responsibilities
  • Consult with Client during research of venues ensuring client requirements are met in meeting specifications.
  • Prepare availability grids and present hotel options to client within organizations meetings policy.
  • Prepare estimated budgets and communicate budgetary information to Client and Program throughout the purchasing process.
  • Utilize preferred vendors for quality of service, minimize risk and maximum pricing advantage.
  • Maintain positive supplier relationships.
  • Initiate vendor contact for information and pricing on assigned meetings via Cvent.
  • Maintain the highest level of quality, professionalism and integrity when negotiating with suppliers.
  • Follow all Standard Operating Procedures.
  • Negotiate all supplier contracts for the best possible prices and concessions in order to meet client s expectation of savings on meeting spend.
  • Keep vendors up-to-date on proposal status. Block appropriate space and release all space not needed on a timely basis.
  • Keep abreast of new destination options, well-priced seasonal destination options and hot date offerings.
  • Coordinate site inspections with suppliers, client. Prepare appropriate site inspection material for clients.
  • Enter and update meeting information in meeting management technology. Keep database and savings information accurate.
  • Monitor cancellation penalties for rebook opportunities.
  • Adhere to all deadlines and turnaround times.
  • Ensure internal and external reporting requirements are met, including proper documentation in meeting file.
  • Develop and maintain relationships with meeting clients to ensure repeat and new business and to help drive compliance with organization s meeting policy.
  • Consult with meeting clients and make appropriate suggestions to ensure meeting success.
  • Complete turnover materials for Client at the signing of the contract.
  • Understand and able to communicate organization s policies to clients
  • Act as backup for the teammate when they are out of the office.
  • Responsibilities relating to commission collection
  • Responsible for some administrative duties
  • Participate in strategic sourcing initiatives.
  • Work independently in the absence of supervision
  • Assumes and performs other duties and responsibilities not specifically outlined herein, as requested
  • To be proactive with clients and suppliers and their requirements and needs. Ability to help strategize.
  • To provide and keep updated with key meeting and events industry trends and guidance
  • To be able to be provide consultative feedback for any new processes
You might also have
Essential:
  • College degree preferred, or equivalent combination of education, training, and experience preferred
  • Strong previous customer service experience required.
  • Proficient in Microsoft Office and SharePoint platform
  • Travel industry and destination knowledge
  • Minimum ten (10) years purchasing/meeting planning experience
  • Strong negotiation skills
