We are hiring of Executive Assistant for MNC based in Pune.
Designation: Executive Assistant
Experience: 2+yrs
Location: Remote
Working Days: Mon-Fri
Working Hrs: 6:00 am-1:00 am (9 hours flexible)
Roles & Responsibilities:
Managing Managers calendars and ensuring smooth day-to-day
engagements.
Work closely with the Manager to keep him/her well informed about
the upcoming commitments and follow up appropriately.
Acting as the point of contact between the executives and internal and
external stakeholders.
Assisting the Executive in day-to-day operations like maintaining
meeting agenda, assisting in planning appointments, board meetings,
conferences etc.
Coordination of weekly/monthly Management Meetings and
Coordinating with almost every department's leaders, understanding
their current plan of action, activities and sharing the current status.
Taking the minutes of the meeting and foreseeing the implementation
of action items.
Managing information flow in a timely and accurate manner.
Making travel arrangements and detailed travel itineraries for the
Executive.
Handling the mails and social media of the Executive.
Preparation of reports/presentations etc as assigned.
Organise business performance review meetings on a
monthly/quarterly basis.
Provide event management support as requested.
Manage calendar, prioritise/schedules various tasks, take care of
various due dates & schedule meetings, and maintain a work log.
Format information for internal and external communication MOM,
Emails, Presentations and Reports.
Communicate with the team members for follow up of the work in
progress and overdue work.
Reschedule the work based on the available capacity.
Maintaining the current filing and database system, and looking for
ways to improve current systems.
Research involves collecting relevant information from various
sources such as books, journals, databases, surveys, interviews, and
the internet. It's important to identify reliable sources and ensure the
data collected is accurate, up-to-date, and applicable to the problem or
objective at hand.
Required Skills :
Advance knowledge of Google Calendar and Gmail .
Must be skillful in the use of computers && Microsoft Office, Excel.
Must be flexible, and willing to learn new things and take on
additional tasks.
Time management skills && confidentiality.
Excellent Communication Skills (Verbal and Written) .
Mandatory Qualities:
Strong ethics, with an ability to manage confidential data
Should be multitasking, energetic and positive learning attitude.
Should be flexible with timings.
Comfortable with night shifts.
