 Front Office Executive

Job Description

Position :--  FRONT OFFICE CUM ADMIN EXECUTIVE

The Job Role will be primarily responsible for handling end to end front office and administration responsibilities which includes but are not limited to guest relations, front office management, In-office communication, vendor management for all administrative.

 

Roles and Responsibilities

 

Guests Relations

  • Attend guest visiting the office at the reception
  • Ascertain purpose of Visit and filter out unscheduled / Adhoc meeting request and such visitors.
  • Attend and resolve any irate guest instances and ensure calm and composed guest behavior on the office premise.

Managing communication

  • Answer, screen and forward incoming phone calls
  • Prepare employee communication mailers and announcements
  • Manage incoming mail communication or letters, sort stack and handover to respective recipients.

Vendor Management

  • Source options for office supplies, stationery, courier, transportation and event management vendors.
  • Negotiate rate and terms of engagement and submit best options for supervisory review.
  • Ensure verification of bills submitted by vendors and employees in line with agreed tariff and terms.
  • Manage vendor escalations and issue resolutions
  • Take timely decision on vendor performance and advise supervisors on vendor replacement

Administration and General Services

  • Manage work deliver of the office staff team on daily basis
  • Manage Room, Cab and conference booking request
  • Oversee entire pantry supplies and stock inventory (including orders placed, material received and returns).
  • Perform all other Adhoc tasks assigned by the line manager.
  • Manage housekeeping activities through housekeeping team.
  • Plan and organize all office events ensure all requirements are planned, budgeted and procured and adequately utilized for each event to make it a success.

 

Desired Candidate Profile

  • Holds a Graduation Degree and has experience of handling reception cum admin responsibilities for at least 5 years.
  • Good communication and negotiation skills must be proficient at handling incoming and outgoing calls and note taking.
  • Must be excellent with Microsoft office calendar and Ms Word and Excel.
  • Must be a custom to working 6 days a week schedule and managing bills verification, rate negotiation follows up with agencies and vendors.
