JOB DESCRIPTION FOR PERSONAL SECRETARY
Manage, coordinate and maintain calendar of MD including
appointments, meetings and travel.
Responsible for organising of internal and external meetings on
behalf of the MD
ensuring all necessary requirements are made e.g. meeting venue,
equipment, presentations, prepare agendas.
Provide executive and administrative support to MD.
Responsible for organising MD travel and logistics including
flights, visa requirements, hotel accommodation,
meeting schedules while travelling and completing expenses.
Monitor and respond to incoming communications (including
complaints) to MDs office including
phone calls, emails and walk ins, ensuring correct department
distribution.
Secretarial support for meetings as and when required by the MD,
including drafting and circulating meeting agendas, preparing minutes,
communicating meeting reminders, confirming venues and arranging
refreshments. Writing and distributing comprehensive minutes and action
points to all members post meeting.
Drafting and writing high quality reports and presentations, as
required by the MD.
Structure the central calendar of events.
Responsible for managing MD s personal drivers daily schedule in
line with MD & CAs daily requirements.
Maintaining and storing confidential files and preparing
correspondence like invitations and write-ups for events.
Should be willing to travel with director to meet clients, business
partners, architects and consultants
prior experience as a secretary / PS would be beneficial.
Arrange Central Office and Senior leadership events.
Confidence with Real estate Knowledge and computer.
Honesty and discretion, Efficient time-management skills.
