Reporting To: General Manager / HR Manager / Admin Manager

2. Key Responsibilities
A. Executive Support to Chairman
Manage the Chairmans calendar, meetings, and travel logistics
Act as gatekeeper for calls, emails, and visitors
Draft and proofread correspondence, reports, and presentations
Liaise with internal teams and external stakeholders
Maintain confidential records and handle sensitive financial matters
Attend strategic meetings, record minutes, and track follow-ups
Coordinate company events and personal errands as required
B. Front Office Management
Greet and direct visitors with professionalism
Operate multi-line phone systems and manage call routing
Maintain reception area and visitor logs
Handle incoming and outgoing mail and courier dispatch
C. Administrative Support
Assist departments with scheduling, documentation, and travel bookings
Manage office supplies and vendor coordination
Support basic accounting tasks including petty cash and expense reports
Oversee housekeeping and facility maintenance
D. Cross-functional Executive Assistance
Provide administrative support to senior managers
Coordinate engineering-related documentation and project logistics
Uphold confidentiality across all sensitive matters
3. Required Skill Sets
Communication & Interpersonal: Fluent in English, Hindi, and Marathi; professional demeanour; strong phone etiquette
Technical Proficiency: MS Office Suite; EPABX systems; basic office equipment
Organizational Skills: Multitasking; time management; attention to detail
