Job Description

Role Overview

We are looking for a professional and customer-focused Receptionist to manage the front desk and handle day-to-day administrative and front office activities. The ideal candidate should possess excellent communication skills, a pleasing personality, and the ability to manage visitors and office coordination efficiently in a corporate environment.

Key Responsibilities

Front Desk Management

  • Manage the reception/front desk area and ensure a welcoming environment for visitors and employees.
  • Greet and assist visitors, clients, and vendors professionally.
  • Handle incoming calls, transfer calls to respective departments, and take messages when required.
  • Maintain visitor records and issue visitor passes as per company protocols.

Administrative Support

  • Coordinate meeting room bookings and support meeting arrangements.
  • Manage courier, dispatch, and incoming/outgoing mail activities.
  • Assist in travel bookings, hotel arrangements, and logistics coordination, if required.
  • Maintain office supplies and coordinate with vendors for replenishment.

Coordination & Communication

  • Coordinate with internal teams for employee and visitor support.
  • Support administration and facility-related activities.
  • Ensure adherence to office security and reception protocols.
  • Handle basic employee queries and route them to the concerned department.

Documentation & Reporting

  • Maintain records, registers, and MIS related to front office activities.
  • Ensure proper filing and documentation of administrative records.

Required Skills & Competencies

  • Strong verbal and written communication skills.
  • Professional appearance and interpersonal skills.
  • Good knowledge of MS Office (Word, Excel, Outlook).
  • Ability to multitask and handle pressure professionally.
  • Good coordination and stakeholder management skills.
  • Customer-centric approach with positive attitude.

Preferred Qualifications

  • Graduate in any discipline.
  • 3-6 years of experience as a Receptionist / Front Desk Executive in a corporate environment.
  • Experience in IT/Corporate office setup will be preferred.
