Position Summary:
Reporting directly to the CEO, the Executive Assistant to the CEO provides executive, administrative, and development support to Board of Directors, as well as the Senior Leadership Team (SLT) and HR. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO. Organizes and coordinates executive outreach and external relations efforts; and oversees special projects.
We are looking for an Executive Assistant to perform a variety of administrative tasks and support our companys senior-level managers. Executive Assistants responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.
Responsibilities
Act as the point of contact among executives, employees, clients and other external partners
Manage information flow in a timely and accurate manner
Manage executives calendars and set up meetings
Make travel and accommodation arrangements
Rack daily expenses and prepare weekly, monthly or quarterly reports
Oversee the performance of other clerical staff
Act as an office manager by keeping up with office supply inventory
Format information for internal and external communication memos, emails, presentations, reports
Take minutes during meetings
Screen and direct phone calls and distribute correspondence
Organize and maintain the office filing system
Strategic Partner Responsibilities
Perform business analysis and reporting for assigned projects.
Work with management to identify business needs, challenges and opportunities.
Determine business roadmap and provide support in future business planning.
Provide project support by managing research activities. Analyse important data and create reports for the benefit of executives review. Maintain inventory of office supplies and equipment.
Vendor Management, Purchase management, filling tenders, preparation of quotations in coordination with commercials.
Evaluate & analyse existing business processes and recommend improvements
Develop action plans to overcome business challenges.
Recommend business improvements based on market and competitive trends.
Identify and develop new business opportunities for company growth.
Requirements
Work experience as an Executive Assistant similar role
High Proficiency MS Office (MS-Excel, PPT and MS Word) knowledge
Outstanding organizational and time management skills
Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
Excellent verbal and written communications skills
Discretion and confidentiality
PA diploma or certification is a plus
