Job Description
1. Patient Reception and Front-Desk Coordination
- Warmly greet patients and verify appointments.
- Register patients in the hospital information system (HIS).
- Confirm patient identification, referral forms, and requested ultrasound examinations.
- Guide patients to waiting areas and provide instructions (e.g., fasting requirements, bladder preparation).
2. Appointment Scheduling & Workflow Management
- Schedule and manage ultrasound appointments to ensure smooth workflow.
- Optimize daily ultrasound lists and coordinate urgent cases.
- Inform patients about preparation protocols before specific types of scans.
- Coordinate with other departments (OB-GYN, Emergency, OPD, In-patient wards) for patient movement.
3. Documentation & Record Management
- Prepare and maintain patient files and referral paperwork.
- Upload or scan documents into electronic medical systems.
- Ensure accurate entry of exam details, billing codes, and clinical information.
- Maintain confidentiality in compliance with hospital policies and HIPAA/privacy standards.
4. Billing & Administrative Support
- Generate billing documents or assist with billing queries.
- Verify insurance details and ensure required pre-authorizations are completed.
- Assist with processing payments if required.
5. Support for Radiologists & Sonographers
- Prepare the ultrasound room before each patient (cleaning, linens, supplies).
- Assist sonographers or radiologists by retrieving previous scans, reports, and patient history.
- Ensure consumables (gel, wipes, gloves, printer paper) are available.
- Help with patient positioning if trained and permitted by hospital policy.
6. Report Management
- Type, edit, and format ultrasound reports dictated by radiologists.
- Ensure reports are accurate, complete, and properly uploaded to the system.
- Track pending reports and follow up with radiologists for timely completion.
- Release completed reports to patients or relevant hospital units.
7. Communication & Coordination
- Act as a communication link between patients, doctors, technicians, and nursing staff.
- Relay urgent findings or instructions from radiologists to appropriate departments.
- Handle phone calls, appointment requests, and general inquiries.
8. Quality, Safety & Compliance
- Ensure cleanliness and infection-control standards in ultrasound areas.
- Monitor and report equipment issues or maintenance needs.
- Follow safety protocols related to ultrasound operations and patient handling.
- Maintain logs (machine QC, daily checklists, patient statistics).
9. Patient Assistance
- Provide instructions regarding exam procedures in simple language.
- Assist elderly, pregnant, or mobility-challenged patients safely.
- Maintain patient comfort and dignity in the ultrasound room.
10. PCPNDT - Specific Roles and Responsibilities
A. Pre-Ultrasound PCPNDT Verification
- Ensure all mandatory patient details are filled on the referral form including:
- Complete patient identification
- Referring doctors name and registration number
- Clinical indication for ultrasound
- Confirm that all required fields under PCPNDT rules are completed before registration.
B. Form F Documentation
- Assist in accurate completion of Form F as per PCPNDT rules.
- Ensure Form F is completely filled before the scan begins.
- Enter complete and correct information in the PCPNDT software/portal.
- Get signatures from the patient and the responsible sonologist/radiologist on Form F.
- Ensure no left-out fields or errors that may violate PCPNDT compliance.
C. Record Maintenance & Filing
- Systematically maintain:
- Form F records
- Monthly PCPNDT statistics
- Copies of referral slips
- Declaration forms (doctor and patient)
- Organize physical and digital PCPNDT records for easy retrieval during inspections.
- Maintain Form F and related documentation for the mandatory duration.
D. Monthly Reporting & Submission
- Compile monthly reports for the District Appropriate Authority.
- Submit monthly PCPNDT reports within the prescribed timelines.
- Maintain logs of submitted reports and acknowledgment receipts.
E. Compliance & Audit Support
- Assist during PCPNDT inspections and audits by providing required documents.
- Follow all PCPNDT compliance procedures, including proper display as per regulatory:
- Inform the Radiologist/Administrator immediately if any discrepancy is found.
F. PCPNDT Register & Data Entry
- Update daily ultrasound registers as per PCPNDT regulations.
- Ensure real-time data entry to avoid backlog.
- Maintain backup of digital PCPNDT data (if applicable).
10. Additional Clerical or Departmental Tasks
- Filing, faxing, scanning, and data entry.
- Preparing monthly statistics or reports for department administration.
- Assisting during audits, accreditation processes, and quality improvement programs.
Qualifications & Skills:
- Education: Diploma or Degree in Non-Technical Stream.
- Experience: Proven experience and understanding of hospital Radiology & Ultrasound services for 2+ years.
- Communication Skills: Strong interpersonal skills to engage with customers effectively.
- CRM Proficiency: Familiarity with Hospital HIS tools.
- Candidate should possess exceptional communication skills Written [English + Kannada] and Verbal [ Kannada + English + Hindi + Tamil + Telugu].
