Role Overview:
The Marine Visa Executive is responsible for end-to-end processing of seafarer visas for international travel. The role involves coordinating with shipping clients, consulates, and internal operations teams to ensure timely and accurate visa issuance for crew members. The person should have strong knowledge of visa documentation, embassy requirements, and marine industry practices.
Key Responsibilities
1. Visa Processing & Documentation
- Handle end-to-end marine visa applications (e.g., Schengen, US C1/D, UK, Singapore, Australia, etc.).
- Verify accuracy of all travel and personal documents submitted by seafarers.
- Prepare and submit visa applications to embassies/consulates.
- Track application status and ensure timely follow-ups.
2. Client Coordination
- Communicate with shipping companies, crewing agencies, and manning offices.
- Provide updates on visa status, document requirements, and timelines.
- Handle urgent visa cases and ensure fast turnaround for crew joining vessels.
3. Compliance & Accuracy
- Maintain updated knowledge of embassy rules, visa guidelines, biometrics, and document changes.
- Ensure all applications comply with immigration, maritime, and consulate regulations.
- Check for errors to avoid rejections or delays.
4. Operations & Reporting
- Maintain structured records of visa files, passport movements, and receipts.
- Coordinate with logistics teams for document collection and dispatch.
- Prepare daily/weekly/monthly reports for management.
- Support the marine operations team in related travel arrangements when needed.
Required Skills & Competencies
- Strong knowledge of marine/seafarer visa categories (C1/D, Schengen, Transit visas, etc.).
- Excellent communication and relationship-management skills.
- Attention to detail and high level of accuracy.
- Ability to handle urgent cases and work under pressure.
- Proficiency in MS Office (Excel, Word, Email handling).
Qualifications & Experience
- Graduate in any discipline.
- 1 - 3 years of experience in Marine Visa Processing / Travel Visa operations (preferred).
- Experience in shipping or marine travel sector will be an added advantage.
