Size and Scope of the role

  • The Team Assistant is a function support role, providing support to the Strategy & People Enablement team consisting of 6 team members
  • The role typically provides a comprehensive administrative support including proactive management of meeting room bookings, logistics handling, vendor management, database management, handling Purchase order and Invoicing system, general operational support and effective co - ordination of activities

Purpose of the role

  • Support the team/department s effectiveness by ensuring there is a highly effective level of administrative support to the team
  • Be accountable for a broad range of activities from basic administrative tasks, to problem solving and query handling, through to actively contributing to projects within the team/division
  • Be a focal point of contact for the team and liaise with BSD, vendors, stakeholders/internal customers, judging priorities and ensuring the delivery of a high level of service

Key Accountabilities

  • General Administration -
  • Effectively provide professional administration support to the team as necessary
  • Responsible for organising internal/external meetings, training, workshops organising events.
  • Act as the focal point for the team members in the team, judge the priorities and proactively work with the many conflicting demands of the team
  • Data Administration -
  • Assist in maintaining and uploading database, content to the Team s shared drive, intranet
  • Run reports as required and assist with the administration and co - ordination of departmental reports
  • Be a reference point on database for purchasing, administrative, training/workshop data and overall budget
  • Analysis on the database maintained
  • Create and maintain any filing and database systems, carrying out regular reviews to ensure the accuracy and efficiency of these
  • Special Assignments -
  • Proactively identify where additional support can be given to the team
  • Contribute to projects and activities as appropriate for the team e.g. project co - ordination, research, presentation and communication support and day - to - day operational activities

Person Specification

Experience -

  • Relevant experience of providing administrative support to a team gained in a complex environment
  • Working in a dynamic environment with conflicting priorities and without supervision
  • Dealing with confidential information
  • Dealing with vendors
  • Knowledge, Skills and Competencies -
  • Excellent attention to detail and a high degree of accuracy
  • Administrative experience, ability to multi - task, working without supervision, ability to prioritise and balance conflicting demands, using own initiative to resolve problems and managing own workload within agreed deadlines.
  • Excellent customer service, Microsoft applications and interpersonal skills for effective communication
  • Reliable and enthusiastic with proven ability to work in a team environment
  • Understand and enthusiastic with proven ability to work in a team environment.
