Finance Associate -Hotel & Travel Reconciliation


Key Responsibilities:

1. Hotel Bill / Folio Reconciliation

  • Review hotel folios and match them with reservations and internal booking records.
  • Identify discrepancies such as incorrect charges, missing folios, or duplicates.
  • Proactively follow up with hotels to obtain missing folios or clarify inconsistencies.
  • Raise and track disputes with hotels for incorrect or unauthorized charges until resolution.

2. Brex Transaction Management

  • Review and classify Brex card transactions on a daily basis.
  • Assign hotel charges and expenses to the correct client, project, or cost center.
  • Ensure supporting documents (folios/invoices) are attached to every transaction.

3. Reporting & Financials

  • Prepare weekly and monthly reconciliation reports summarizing charges, disputes, and settlements.
  • Generate client-level reports with billing allocations and reconciled charges.
  • Support finance leadership with consolidated financial data.

4. Vendor & Client Coordination

  • Coordinate with hotels/vendors for timely invoice sharing and dispute resolution.
  • Partner with client-facing teams to provide clarity on reconciled charges or pending issues.
  • Maintain a structured escalation process for delayed or unresolved hotel responses.

5. Compliance & Process Improvements

  • Ensure all reconciliations and reports comply with internal policies and external standards.
  • Recommend and support improvements in reconciliation and reporting workflows.
  • Maintain proper documentation for audits and internal reviews.

Additional Requirements:

  • Must be available for remote work with reliable internet access.
  • Must be able to work US time zone hours (night shift IST).
  • Immediate joiners or candidates available within short notice preferred.
