The Executive Assistant is expected to manage the day-to-day tasks i.e., conduct all administrative work, making sure the CEOs operations run smoothly. The ideal candidate for this position is someone who can keep their calm in a high-pressure environment and coordinate the logistics of the CEOs office with multiple stakeholders in the organization. The candidate should be detail oriented and a creative problem solver.
Requirements
Key Responsibilities & Duties
Manage CEOcalendar daily by actively planning and coordinating with all stakeholders
Arrange travel & accommodation for business travel by collaborating with facilities team and external vendors
Perform clerical and administrative tasks including drafting letters, memos, filing invoices, reports, documents for senior staff and other tasks that facilitate the CEOability to effectively lead the company
Facilitate board meetings, large-scale meetings, including global & local town-halls and training initiatives, team social events etc. where needed.
Accommodate requests for organizing meetings with appropriate stakeholders for any board members or C-Suite executives visiting the company
Act as point of contact for handling all external and internal communications for CEO & founders among internal team members and other external parties. Review communication content to determine importance and summarize and/or share them with appropriate staff
Maintain discretion and confidentiality in relationships with all board members
Work Experience and Skills
Minimum 10 years of relevant experience as a team leader or administrative role in supervision and management
Excellent understanding of Google workspace applications for planning, managing & organizing.
Ability to maintain an accurate calendar, to make travel plans and to follow confidentiality guidelines
Demonstrated proficiency in supporting senior individuals to achieve required service levels
Possess critical thinking skills to problem solve independently to prioritize and meet timeline requirements
Have strong spoken and written communication skills, excellent time management
Be proactive in identifying and resolving issues
Have experience working in an Agile/SCRUM-based environment
