Job Description

We are seeking a dedicated and detail-oriented Virtual Medical Assistant (VMA) to support our healthcare operations remotely. The ideal candidate will have strong communication skills, a basic understanding of medical procedures, and the ability to manage multiple administrative and patient-facing tasks efficiently. This role requires working night shifts aligned with Eastern Standard Time.


Key Responsibilities:

1. Patient Communication:

  • Handle incoming calls, emails, and live chats professionally and empathetically.
  • Provide prompt and clear responses to patient inquiries.

2. Scheduling:

  • Manage appointment bookings and send timely reminders to patients.
  • Coordinate referrals and follow-ups efficiently.

3. Electronic Health Records (EHR) Management:

  • Accurately update and organize patient information in the EHR system.
  • Maintain confidentiality and comply with healthcare data regulations.

4. Billing and Insurance:

  • Assist with insurance verification and documentation.
  • Support billing processes by gathering relevant data and clarifying patient queries.

5. Administrative Support:

  • Draft and manage correspondence, including referral letters and test result notifications.
  • Ensure thorough documentation and record-keeping.

6. Telehealth Support:

  • Guide patients in setting up virtual consultations.
  • Collect preliminary health information and troubleshoot basic tech issues.

7. Follow-up Activities:

  • Contact patients post-appointment to provide care instructions or gather feedback.
  • Ensure continuity of care through regular updates and check-ins.

Required Skills & Qualifications:

  • Graduate in any discipline (Medical/Allied Health background preferred).
  • 02 years of experience in a healthcare or administrative role.
  • Excellent communication skills in English (Canadian/US accent preferred).
  • Proficient in using EHR systems, MS Teams, Zoom, and other virtual platforms.
  • Strong organizational and time management abilities.
  • Comfortable with night shifts and working independently.
  • Ability to learn and adapt to new technologies and procedures quickly.
  • Basic understanding of medical terminology and healthcare processes is an added advantage.
