Job Description
Post: Billing Executive Offshore Vessel Agency/Integrated Logistics
Location: Chembur / Govandi, Mumbai
Reporting to: Manager Operations Age: 25 to 30 years preferred (but flexible)
Qualification: B. Com, or Any Other Graduate
Experience & Desirable Profile:
- Billing/Receivable Accounting experience of minimum 3 to 5 years preferably in a Shipping Agency/Offshore Support Services Co.
- Good Communication, and Interpersonal skills.
Remuneration: Good remuneration in line with the Shipping Industry norms
Role & Job Responsibilities:
Role Overview: Handling Complete Billing Process Billing, Collection, Recording/Accounting Invoices, Billing Documentation, Billing related Correspondence, Follow, and Billing/Receivable MIS - for the Principals and the Customers of Offshore division.
Job Responsibilities:
- Preparing Invoices of principals, and customers of offshore shipping agency and oil and gas integrated logistics division.
- Operate Billing/Accounting/PCMS software.
- Keeping records of new files Received from branches, Mumbai
- Follow up with the operation dept. for getting the documents / job files for billing.
- Checks the documents required for billing while Billing.
- To raise agency invoices as per agreed contractual rates.
- Follow billing process as per agreement with the customer, prepare the bill the job files with all the supporting bills/documents.
- Forward the original and soft copy of the bills to the client as required.
- Follow-up for the acknowledgments of the submitted invoices.
- Reporting daily billing status to the manager; also periodic billing MIS on overdue amounts to the management.
- Provide accurate and timely replies on all billing related questions by principals and customers.
- Follow-up for timely collection of bills near to the due dates - with branches, operation teams and principals for collection; verify bills, collections, and mark bills. Send reminders for collection of over-dues.
- Review Daily Agency works, in close liaison with principals and respond to all their queries.
- provide provision amounts to Principals for unbilled services on monthly basis
- Prepare Statement of Account (SOA) with payment details received from principal.
- Reconcile outstanding amounts with principals and customers, and obtain periodic confirmation for audit.
- Keep track of all Advances of the Offshore division..
- Prepare Purchase Register of Offshore Department.
- Update vendor bills record with payment details.
- Any other work as allotted by the reporting manager from time to time.
