Job Description

  • Manage the daily operation of Housekeeping services to ensures offices, conference room, meeting room, Directors cabins, pantry area and other specified area are kept in clean and orderly condition and recommend upgrade when needed
  • Monitoring surveillance camera on daily basis and ensure proper functioning of all camera Ensure safety of all important documents, files and cheque books
  • Proper handling and managing of office keys of Director cabins, office main gate, conference room and meeting room Maintaining and ensuring safety of all assign keys.
  • Taking care of Dispatch of local and international shipment. keeping records for incoming and outgoing couriers in Courier Register Arrange and manage international shipment through DHL Import Service and Export Service
  • Correspondence Management Receiving and Handling of incoming calls and emails, take messages, respond appropriately and route correspondence to concerned person
  • Invoice Management Maintaining monthly Vendors Invoices in MIS Sheet Do cross verification of invoices & ensure timely payment of Invoices for uninterrupted services
  • Vendor Management Maintain and update vendor list on regular basis Coordination and follow up with Vendors for Rates negotiation and delivery of Services
  • Office Inventory Management Monitoring of office utilities, Inventories, Assets and equipment Maintain list of office inventory in Inventory register. Ensure smooth functioning of Office assets
  • Stock Management Monitor and maintain office supply. Allocate office stationery and maintain availability of stationery in Stock register Keep track of office supply and reorder stock when required Handling issuance of Stock to employee
  • Event Management Arrange timely events and festivals in the company Arrange decoration of office, Conduct games for employees Arrange and arrange lunch for all staff in event.
  • Entry and Exit Formalities of Employees Management Completing joining formalities for the new employees in terms of making of employee id card, issuance of stationery, issuance of Sim card, issuance of Health Card and printing of business card etc Managing and updating of all the related details of employee record on regular basis (mobile numbers, address, birthday etc) Taking necessary handling over of office inventory at the time of relieving of the employee
  • Traveling Management Collect Traveling Allowance and reimbursement sheet from employees. Take approvals from Team leader, Senior Manager, MD and process payment. Manage Visa Arrangements. Arrange executives Railway tickets, flights tickets, hotel booking and dining arrangement as needed.
  • Staff Welfare Management Arrange weekly snack party on regular basis. Arrange celebration of employees birthday party, fare well party and R& R party Manage First Aid Box Manage Tea and Coffee on daily basis
  • Cash Handling Management Handling of petty cash for day to day expenses and record in cash book Maintain cash bills in files and verify on monthly basis.
  • Office Operations Management Ensure smooth functioning of day to day office activities and operations Handle request, feedback and queries quickly and professionally Ensure the smooth and adequate flow of information within the company to facilitate other business operation Resolve Employees issues on daily basis Maintain and update all list time to time like extension list, vendor list, files etc
  • Visitor Management Greet Visitors and arrange meeting with concerned person Arrange Tea and snacks for visitors as per their requirements.
  • Filing Management Maintain filing systems of Admin and Director Files Having knowledge of filing allocation of every departments
