Job Description

The Personal Assistant (PA) to the Director of the Career Management Cell will be responsible for providing comprehensive administrative support and assistance to the Director in managing the day-to-day operations of the cell. The PA will play a crucial role in coordinating and facilitating communication, organizing schedules, and ensuring the smooth functioning of the office. Key Responsibilities Administrative Support: Manage the Director's calendar, schedule appointments, and coordinate meetings and events. Prepare and organize documents, reports, presentations, and correspondence on behalf of the Director. Handle incoming and outgoing communications, including emails, phone calls, and official correspondence. Maintain confidential records, files, and databases, ensuring accuracy and accessibility. Coordination and Communication: Serve as the primary point of contact for internal and external stakeholders, maintaining a professional and courteous demeanour. . Coordinate and facilitate communication between the Director and various departments, faculty, staff, students, and external partners. Arrange and organize meetings, conferences, and workshops, including logistical arrangements and agenda preparation. Take meeting minutes, prepare summaries, and follow up on action items as required. Information Management: Conduct research, gather data, and compile information as requested by the Director for reports, presentations, or decision-making purposes. Manage and update relevant databases, records, and files, ensuring accurate and up-to-date information. Monitor and respond to inquiries, feedback, and requests for information, redirecting them appropriately when necessary. Stay updated on industry trends, best practices, and emerging technologies related to career services. Technical Skills Proven experience as a Personal Assistant, Executive Assistant, or similar role. Excellent organizational and time management skills, with the ability to multitask and prioritize effectively. Proficient in using office software, including word processing, spreadsheet, and presentation tools. Discretion and confidentiality in handling sensitive information. Ability to work independently and collaboratively in a fast-paced environment. Professionalism, integrity, and a positive attitude Communication Skills Strong written and verbal communication skills, with attention to detail
