Job Title: Secretary to Managing Director Company Overview: Unifaith Biotech is a leading pharmaceutical company committed to pioneering healthcare innovations and improving lives globally. Job Summary: We are seeking a highly organized and professional Secretary to support the Managing Director in the day-to-day operations of our pharmaceutical company. The ideal candidate will be detail-oriented, possess excellent communication skills, and be capable of handling a wide range of administrative and executive support tasks. Responsibilities: Calendar Management: Schedule and coordinate meetings, appointments, and travel arrangements for the Managing Director, ensuring optimal use of time and resources. Communication: Manage and prioritize incoming communications, including emails, phone calls, and other correspondence. Draft, review, and edit. documents as needed. Meeting Support: Prepare agendas, take minutes, and provide administrative support for executive meetings. Coordinate logistics for internal and external meetings. Document Management: Maintain organized and up-to-date files, records, and documents. Ensure confidentiality and proper handling of sensitive information. Travel Coordination: Arrange domestic and international travel for the Managing Director, including flight bookings, hotel accommodations, and transportation. Interdepartmental Coordination: Act as a liaison between the Managing Director and various departments within the company, facilitating communication and information flow. Event Planning: Assist in planning and coordinating corporate events, conferences, and other special functions as directed by the Managing Director. Expense Management: Track and reconcile expenses related to the Managing Director's office. Prepare and submit expense reports in a timely manner. Task Prioritization: Prioritize and manage multiple tasks simultaneously, ensuring that deadlines are met and critical issues are addressed promptly. Professionalism: Represent the Managing Director in a professional and courteous manner, both internally and externally. Qualifications: Proven experience as an executive secretary or administrative assistant, preferably in a pharmaceutical or healthcare setting. Strong organizational and time-management skills. Excellent written and verbal communication abilities. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Discretion and confidentiality are essential. Ability to work independently and collaboratively in a fast-paced environment. Education and Experience: Bachelor's degree in Business Administration, Secretarial Studies, or a related field.
