Position Summary
The Sales Administrator plays a pivotal role in maintaining sales pipeline integrity, ensuring deal accuracy across systems like HubSpot, PSA, and QuickBooks, and managing inventory adjustments and invoicing processes. This role supports compliance, reporting, and post-event operations while identifying areas for process optimization and sales enablement. The Sales Administrator ensures smooth collaboration between Sales, CX, Finance, and Marketing teams to drive operational efficiency.

Responsibilities
Inventory Adjustments
The sales administrator will process the NOC inventory adjustment requests that come in from
various avenues. The SA will then ensure that the invoice is sent to Finance for payment, and
that the PSA is updated.
Sales & CX Deals
The SA will perform quality checks on deals to ensure that they are entered into HubSpot (HS)
correctly and will also ensure that Finance has received the necessary information (to set up the
invoice). The SA will also ensure that when an invoice is paid, they update the deal status in HS
and ensure that it is correctly updated in SalesLoft.
Sales Pipeline Compliance Review
Identify opportunities in the sales pipeline that lack next steps or critical details. Ensure
escalations are entered accurately and promptly. If the CX team has not updated the deal stage
and amount in HubSpot, but it's reflected in SPT, update HubSpot accordingly.
Automatic Increases
The SA will ensure that annual increases are entered correctly into both HS and the PSA. When
we transition to Halo PSA, the Sales Administrator will help the CX team to get our partners into
standardized increases by identifying outliers.
Reporting
The SA will ensure that the Sales Director receives updates on leads that are not in compliance
with SLAs. Other reports are to be produced for other stakeholders. The SA will also be able to
maintain our tabulation of Customer Lifetime Value.
Team GPS Self-Serve
The SA will triage or resolve all issues with respect to the automated self-service GPS deals,
including disputes, billing errors, etc.
Reconciliation
Any reconciliation between data in HS, QuickBooks and the PSA should be done by the Sales
Administrator.
Sales Process Optimization & Enablement
Identify areas for process improvement within sales operations. Ensure the sales enablement
library is updated with the latest materials and accessible to the Sales and CX teams.
Post-Events
Uploading lists into HubSpot, associated scoring, lead routing, and reporting. Coordinating with
Marketing to ensure that all stakeholders are aware of SalesLoft cadences and their respective obligations / SLAs.
Other Duties
If there is additional free time, preparation of L10 metrics, prepping lists (i.e. for BDRs), Sales
Process Optimization & Enablement, and assisting with manual handling of MQLs and serving as the Turtl librarian (creating and deprecating variations for the sales team). Our Culture and You
