Job Description

The Assistant Manager Fleet & Driver Management will support the effective management of a fleet of vehicles, ensuring optimal utilization, maintenance, and compliance with all regulatory requirements. This role involves overseeing the driver management function, including recruitment, training, performance monitoring, and ensuring the safety and efficiency of the fleet operations.

Key Responsibilities:

  1. Fleet Management:
    • Oversee day-to-day operations of the fleet, ensuring efficient use of vehicles.
    • Monitor vehicle condition and ensure that all vehicles are properly maintained and serviced according to scheduled timelines.
    • Coordinate with maintenance providers and suppliers to ensure timely repairs and reduce downtime.
    • Maintain an up-to-date database of fleet inventory, vehicle registration, insurance, and other relevant documents.
    • Ensure that all vehicles are compliant with safety, environmental, and regulatory standards.
  2. Driver Management:
    • Assist in the recruitment and selection of drivers, ensuring that only qualified candidates are hired.
    • Conduct regular training programs for drivers to ensure safe driving practices, compliance with regulations, and the efficient use of company vehicles.
    • Monitor and manage driver performance, including implementing corrective actions when necessary to improve safety, productivity, and efficiency.
    • Maintain accurate driver records, including licenses, training certificates, and performance reports.
    • Develop and enforce company policies related to driver behavior and safety.
  3. Operational Efficiency:
    • Collaborate with other departments to optimize fleet routes, fuel consumption, and delivery schedules to enhance operational efficiency.
    • Analyze fleet data and driver performance metrics to identify areas for improvement and recommend actionable solutions.
    • Manage and track fuel consumption, ensuring cost-effective fuel management and reporting.
  4. Compliance & Safety:
    • Ensure compliance with all local, state, and federal transportation laws and regulations.
    • Monitor driver adherence to safety standards and government regulations, including hours of service, vehicle inspections, and weight limits.
    • Investigate accidents, incidents, or violations involving the fleet and ensure proper follow-up procedures are in place.
  5. Reporting & Budgeting:
    • Prepare and maintain reports related to fleet operations, maintenance schedules, costs, driver performance, and compliance.
    • Assist in preparing the fleet management budget, ensuring that expenses are controlled and costs are optimized.

Qualifications & Skills:

  • Education:
    • Bachelors degree in Logistics, Transportation Management, Business Administration, Automobiles or a related field is preferred.
  • Experience:
    • Minimum 3-5 years of experience in fleet management or related field, with at assistant managerial role.
  • Skills:
    • Strong knowledge of fleet operations, maintenance schedules, and regulatory compliance.
    • Excellent organizational and time management skills.
    • Ability to analyze and interpret data to improve operational performance.
    • Strong communication and interpersonal skills to effectively manage drivers and collaborate with other departments.
    • Proficient in MS Office (Excel, Word, PowerPoint) and fleet management software.

Physical Requirements:

  • Ability to work in a dynamic, fast-paced environment and handle multiple tasks simultaneously.
  • Travel may be required for site visits, vehicle inspections, or driver training.

  • Problem Solving: Ability to identify problems within the fleet and develop solutions that align with business goals.
  • Attention to Detail: Ensure vehicles and drivers comply with all operational standards, regulations, and safety requirements.
  • Communication: Effectively communicate with team members, drivers, and external stakeholders to ensure smooth operations.
