Job Description

1. Housekeeping Operations Management

  • Plan, implement, and supervise daily, weekly, and monthly housekeeping operations across the factory premises, including shop floors / labs, warehouses, offices, canteens, and utilities.
  • Ensure adherence to 5S, GMP, ISO, and other relevant hygiene and housekeeping standards.
  • Conduct regular inspections and audits of cleanliness and hygiene parameters.
  • Organize and oversee deep cleaning, pest control, and waste management programs.

2. Team and Vendor Management

  • Manage a team of in-house housekeeping staff and outsourced manpower.
  • Coordinate with housekeeping service vendors/agencies for manpower planning, deployment, and quality control.
  • Ensure compliance with service agreements, monitor vendor KPIs, and conduct regular performance evaluations.
  • Resolve vendor-related operational issues promptly.

3. Monthly Invoices & P2P Process Management

  • Collect, verify, and validate vendor invoices related to housekeeping and other admin services.
  • Ensure that all necessary supporting documents (POs, service reports, attendance sheets, GRNs, etc.) are properly attached.
  • Coordinate with Procurement, Finance, and Vendors to ensure smooth invoice processing.
  • Submit invoices within defined timelines and track payment status until closure.
  • Maintain updated invoice trackers and ensure alignment with budget provisions.
  • Address and resolve invoice discrepancies or rejections promptly.

4. Budget and Resource Optimization

  • Support the preparation of the housekeeping budget covering manpower, materials, and services.
  • Ensure cost-effective utilization of consumables and cleaning equipment.
  • Monitor housekeeping expenditure against budget and report deviations.

5. Compliance and Safety

  • Promote adherence to company safety and hygiene policies.
  • Support the EHS (Environment, Health & Safety) team during audits and inspections.
  • Ensure proper handling and storage of cleaning chemicals and materials.

6. Reporting and Documentation

  • Prepare and maintain records for daily housekeeping activities, audits, vendor evaluations, and invoice status.
  • Generate MIS reports for Housekeeping KPIs, cost monitoring, and invoice tracking.
  • Provide periodic updates and reports to the Admin Head and Factory Management.
