Job Description

    Key Responsibilities:

     

    1. Administrative Support:
    • Manage and maintain the Directors calendar, including scheduling meetings, appointments and travel arrangements.
    • Prepare and organise agendas, minutes and presentations for meeting.
    • Draft, proofread, and edit correspondence, reports and other documents.

     

    1. Communication Management:
    • Serve as the primary point of contact between the Director and internal/external stakeholders.
    • Screen and prioritize emails, calls and inquiries, responding on behalf of the Director when appropriate.
    • Coordinate communication flow within the organisation and ensure timely follow- ups.

     

    1. Office Management
    • Organize and maintain files, records and documents in a systematic and confidential manner.
    • Handle logistics for events, conferences, and meetings, including booking venue and arranging catering.
    • Monitor and order office supplies as needed.

     

    1. Project Coordination:
    • Assist with the planning and execution of special projects as directed by the Director.
    • Track deadlines, deliverables, and project milestones to ensure timely completion.

     

    1. Travel and Expenses Management:

     

    • Coordinate domestic and internal travel arrangements, including flights, accommodations, and itineraries.
    • Prepare and submit expenses reports, ensuring accuracy and compliance with company policies.

     

    1. Confidentiality and Discretion:
    • Handle sensitive information with the utmost confidentiality and professionalism.
    • Act as a trusted advisor and provide sound judgment in all interactions.

     

    Qualifications:

     

    • Bachelors degree in business Administration, Communications or a related field (Preferred).
    • Proven Experience as an Executive Assistant, Administrative Assistant, or similar role.
    • Proficiency in Microsoft Office (Word, Excel PowerPoint, Email Outlook) and project Management tools.
    • Excellent written and verbal communication skills.
    • Strong organizational and multitasking abilities with attention to detail.
    • Ability to work independently, prioritizes tasks, and meets deadlines under pressure.
    • High level of discretion, professionalism, and interpersonal skills.
