Job Description
EXIM Compliances
- Complete all processes and documentation for obtaining imports & export licenses
- Obtain imports & export certificates from various government agencies in compliance with each shipment
- Develop and maintain international transportation SOPs with freight forwarders and other logistics service providers
- Monitor import - export processes to ensure legal and regulatory compliance with customs, export, applicable foreign trade laws, as well as applicable for sea/air transport regulations
- Complying to all FERA formalities
- Ensure IDPMS and EDPMS closures with bank on monthly basis
- Oversee all import and export insurance claims procedures and ensure that claims are processed in a timely fashion
Logistics Planning
- Develop shipping & logistics plan - Review shipping notices, bills of lading, invoices, orders, and other records to determine shipping priorities and shipping methods required to meet shipping schedules
- Coordinate with the Clearing & Forwarding agents for Shipment bookings as per plan
Exports Coordination
- Receive a copy of the PO
- Obtain all relevant information - details of customer, product price, order details, shipping company and sea freight amount has to be obtained
- Prepare B/L, Proforma Invoice & Packing Lists.
- Send all relevant documents for customers for payment
- Send all documents, respective locations CHA and all other required shipping details to the Works team
- Co-ordination with CHA at all locations and approve check list based on shipping documents.
- Maintain Shipping data and all other relevant shipment tracking details.
- Containers are then booked with shipping liners as per container availability & once DO receive from shipping line we send it to CHA
- Track with forwarder each and every shipment once onboard till it reaches final destination.
- Upon receipt of draft B/L check, approve and follow up for final B/L.
- Check shipping line/Forwarders invoices for payment.
- Check CHAs invoices for payment.
- Preparation of bill of exchange for payment & email shipping documents to the customer
- Preparation of Bank sets to complete export procedures as per RBI and sending it out to customers in a timely fashion
- Approving of FOREX rates with the Bank
- Track that we have received the Government incentives due to us
- Completing all licensing process required for exports
- Complete all banking formalities for export remittances
- Initiate timely invoicing and work closely with accounts department to ensure billing accuracy
- Accident claim process (In case of accident in transit).
- Process freight claims and customer complaints
Import Coordination
- Follow up with - Bank, Clearing agent, Freight forwarders.
- Send the documents to Clearing Agent for clearing the shipment.
- Coordinate with EOU & SEZ customers for custom clearance documents
- Make sure that the cargo arrival notice is received on time and the shipment arrives on docks.
- Calculate the duties applicable
- Inform Accounts to pay the duties as per time schedule
- Maintain record of custom duties paid
- Maintain the folders and keep things updated for any enquiry.
- File all invoices/Letters of foreign shipments.
MIS & Reporting
- Monthly report preparation for IGST claim.
- Monthly Insurance declaration report.
- Monthly sales & dispatch report
- Preparation of container arrival status.
- Tracking of all vehicle movement till it reaches final destination from factory.
- Ensure details for all shipments are maintained and shared with internal stakeholders, as per requirements
Team Management
- Identify the team members required to execute the Shipping & Logistics plan of the company
- Participate in selection interviews to select the right candidates for the team
- Orient and train new joiners in the department
- Monitor activities of the team to ensure all SOPs are implemented correctly and work is executed as per schedule
- Train and counsel team members to ensure they perform efficiently
- Evaluate team performance
- Sanction leaves/extra working of team members
