Experience: 1 to 3 years Budget: Upto 15k pm Job Type: Full Time Job Summary We are seeking a dedicated Executive Assistant to provide administrative and communication support to the CEO and executive team. The Executive Assistant will be responsible for managing inbound and outbound calls, assisting with scheduling, handling client inquiries, and supporting day-to-day administrative tasks. This position requires excellent communication skills, organizational abilities, and a proactive approach to supporting the CEO's office in a fast-paced environment. Key Responsibilities Telecalling & Client Interaction Answer inbound calls and respond to client inquiries, providing information about our IT hardware products and services. Make outbound calls to existing and potential clients, providing them with information on new products, promotions, or service updates. Schedule meetings, follow-ups, and appointments for the CEO and executive team, coordinating client interactions and managing the CEO's calendar. Screen and prioritize calls for the CEO, directing important messages to the appropriate team members. Administrative Support Assist with the preparation and distribution of internal communications and documents, ensuring efficient flow of information. Handle day-to-day administrative tasks such as data entry, filing, and maintaining records of client communications. Help in drafting emails, letters, and official correspondence on behalf of the CEO, ensuring professionalism and clarity in all written communication. Coordinate and manage travel arrangements for the CEO, including booking flights, accommodations, and transportation for business trips. Database Management & CRM Support Maintain and update the client database, ensuring that contact information is accurate and up to date. Support the sales and marketing teams by updating leads and managing client communications in the CRM system (e.g., Salesforce, HubSpot, etc.). Help track sales inquiries, follow-up schedules, and report client feedback to the CEO. Communication & Relationship Management Serve as a point of contact for internal and external stakeholders, managing communication with vendors, clients, and partners. Maintain positive relationships with clients, ensuring their inquiries are handled promptly and professionally. Provide general assistance to the CEO and other team members to maintain smooth communication channels within the company. Scheduling & Coordination Coordinate internal and external meetings, including the CEO's appointments, ensuring they are scheduled accurately and efficiently. Send reminders and follow-up notifications regarding meetings, calls, and tasks. Prepare meeting agendas and ensure all necessary materials or documents are available to the CEO. Required Skills & Qualifications Education: High school diploma or equivalent; Bachelors degree is a plus. Experience: Previous experience in a telecalling or administrative support role, preferably in the IT hardware or technology sector. Proven ability to handle administrative tasks while managing multiple responsibilities. Experience with CRM systems (e.g., Salesforce, HubSpot, etc.) and general office software (e.g., MS Office, Google Suite). Skills: Excellent verbal and written communication skills with a professional tone. Strong organizational and multitasking abilities. Ability to maintain confidentiality and handle sensitive information with discretion. Friendly and customer-oriented attitude, with a focus on providing high-quality service. Strong attention to detail, time management, and problem-solving skills. Ability to work under pressure in a fast-paced environment.
