Key Responsibilities: Administrative Support: Schedule Management: Manage the daily calendar, including scheduling meetings, appointments, and travel arrangements. Ensure the individual is well-prepared for meetings by organizing agendas and briefing materials. Correspondence Handling: Handle incoming and outgoing communications, including phone calls, emails, and letters. Draft and proofread documents, reports, and presentations. Meeting Coordination: Arrange and coordinate meetings, conferences, and events. Take detailed minutes during meetings and distribute them promptly. Documentation & Filing: Maintain a systematic and organized filing system for important documents. Handle data entry and record-keeping tasks efficiently. Personal Assistance: Travel & Itinerary Planning: Arrange domestic and international travel, including flights, accommodation, and transportation. Prepare detailed travel itineraries and ensure all logistics are in place. Errand Management: Handle personal tasks and errands as assigned, such as purchasing gifts, making reservations, or managing household tasks. Confidential Support: Manage sensitive information and maintain strict confidentiality. Act as a trusted point of contact for personal and professional matters. Office & Team Coordination: Task Delegation: Act as a liaison between the executive and other staff or departments. Follow up on delegated tasks and ensure deadlines are met. Resource Management: Order office supplies or equipment as needed. Oversee the maintenance of office spaces to ensure a professional environment. Project Support: Assist in research and preparation for specific projects or presentations. Coordinate with external vendors, consultants, or contractors when required. Qualifications and Skills: Education: Bachelors degree or equivalent preferred. Experience: Proven experience as a Personal Secretary, Executive Assistant, or in a similar role. Technical Skills: Proficiency in MS Office Suite, email management tools, and calendar software. Communication: Excellent written and verbal communication skills. Time Management: Strong organizational and multitasking abilities with attention to detail. Professionalism: High level of discretion, reliability, and adaptability. Language Skills: Fluency in multiple languages is a plus (if relevant to the role).
