Job Description
Manager Admin & Facilities
Should be responsible for sourcing equipment, goods and services and
managing vendors.
The successful candidate will be able to perform strategic
procurement activities across multiple categories of spend,
search for better deals and find more profitable suppliers.
Develop, lead and execute procurement strategies
Track and report key functional metrics to reduce expenses and
improve effectiveness
Craft negotiation strategies and close deals with optimal terms
Partner with stakeholders to ensure clear requirements
documentation
Forecast price and market trends to identify changes of balance
in buyer-supplier power
Perform cost and scenario analysis, and bench marking Assess,
manage and mitigate risks
Seek and partner with reliable vendors and suppliers
Determine quantity and timing of deliveries
Monitor and forecast upcoming levels of demand
Manage overall direction, coordination, and evaluation of
procurement for the facility PAN India.
Implement procurement strategies to maintain security of
supply and optimum value for money.
Perform all procurement and contracting activities including
pre-qualification, tender management, negotiation and
preparation of contracts.
Develop key relationships with business stakeholders and
strategic supply partners to improve business.
Implement change and develop new processes to better procure
goods.
Take ownership of Warehouse and Office facilities related work.
MIS reporting for Resource time, Material Inward and Outwards,
Carton Weighment, Returnable and Non Returnable Goods, Food
and Snacks Daily Count.
Upkeep of Facilities by Housekeeping: Hygiene Maintenance,
Cleaning of Floors, Washrooms, Common Area, Sanitization Etc.
Plan Procurement of Stationery Inwards and Dispatches, Covid
Essentials, Racks, Pallets, Conveyor, BOPT and all other Material
Handling Equipments.
Maintain detailed Vendor Database and Track & Record Vendor
SLA's.
Invoice Handling of Utilities like EB Bills, DG bills, Internet
Invoices, Printer Cartridges Bills, Rental Invoices.
Asset Management of all Fixed and Movable Assets within the
facility includes but not limited to CCTV, Crates, Racks, Trolleys,
Fans, Table Chair etc.
Timely Facility inspection for Food, Water, Water Tanker Cab
Services.
Suggest and Undertake Upgrading / Modernisation works of
facility as per Monitor and Supervise segregation and Sales of
Cartons.
Maintain all the legal documents & layout drawings with
specification.
Assign Responsibilities and Upkeep, Maintenance, Safety &
Security of the facility as per standards.
Identifying the Few facility as per the business requirement &
take ownership of agreement signature/ finalizing the
commercial.

An ideal candidate for this role is someone who has:
1) Proven strong foundation and knowledge of principles & practice
of Administration & Procurement
2) 5 to 6 yrs of experience in similar role, preferably in ecommerce
supply chain or logistics.
3) Super motivated, go-getter, willingness to go on ground.
