Administrative assistant job description -
Administrative assistants will be responsible for running and coordinating the day-to-day administrative duties of an organization. The administrative assistant must have organization skills, communication skills and the capacity to manage several tasks or requests simultaneously. Soft skills such as being professional and exceptional with time management are also valuable to include.
In addition to general administrative work, administrative assistants may need to scheduling meetings, taking minutes during sessions, maintaining databases and producing reports or presentations for the executive leadership.
Administrative assistants need to ensure the smooth-running of the office, working both on a one-to-one basis with the executives, but also on a wider basis with internal and external clients.
Administrative assistant duties and responsibilities of the job -
Answering and directing phone calls to relevant staff
Scheduling and organizing meetings and appointments
Taking notes/ dictation and minutes in meetings and writing them up subsequently
Monitoring a reporting manager's email and responding if required
Preparing communications on behalf of a manager
Conducting or preparing any research that the reporting manager may require
Ordering and taking stock of office supplies
Being a point of contact for a range of staff and external stakeholders
Preparing documents for meetings and business trips
Making travel arrangements and detailed travel itineraries
Processing and directing mail and incoming packages or deliveries
Greeting and directing visitors and new staff to the organization
Writing and issuing emails to teams and departments on behalf of teams or senior staff
Researching and booking travel arrangements for staff members
Finding ways to improve administrative processes
Handling correspondence directed to managers
Producing reports and presentations
Maintaining the current filing and database system, and looking for ways to improve current systems
