Roles and Responsibilities - Manager - IVST (Indian Vehicle Safety Policy)
HPCL Fuel cards (BCSL & BBPL)
- Monitoring activities on fuel cards.
- Collaboration and co-ordination with CBU's
- Creation of new cards, mapping with mobile numbers & updating card limits for employees
- Deactivating cards of resigned employees
- HPCL Dashboard updation
- User queries and escalation on fuel cards.
- Downloading fortnightly statements and submitting invoice to finance
- Submitting Vehicle wise monthly fuel consumption statements to CU's
Fastags
- Apply and activate Fastags for new vehicles in coordination with CBU's & HDFC
- Deactivate Fastags of disposal vehicles
- User queries and escalations on Fastags
V-Care Reports
- Downloading & extracting monthly vehicle alerts for all vehicles from V-Care portal
- Monthly deviation report
- quarterly deviation chart
VDR Devices
- Monitoring Installation of new devices and de-installation of vehicles under disposal Monthly reconciliation of VDR devices with Tech Mahindra Monthly reconciliation of VDR devices with Asset Register Checking and validating VDR invoicing data.
Vehicle replacement
- Collaboration and co-ordination with CBU's Collating data on vehicles completing 4 years / 120000 kms Preparing the final list on replacement, basis approval from CBU's
- Follow up with leasing company once final order placed. Sharing registration documents with the leasing company. Follow up for vehicle deliverables Weekly meeting with leasing company and CBU's on delivery updates.
- Follow up with Tech Mahindra and leasing company to install VDR device in new vehicles.
Vehicle Insurance
- Collating data for insurance renewal (owned vehicles) Sharing the list with CBU's to validate and final approval follow up with insurance company for premium quotation Follow up for final policy distribution to respective vehicle user. Monthly insurance amortization data to manila team User or CBU escalation on Vehicle insurance.
- File Reporting Co-ordinating with CU admins for timely submissions of Flix reports Collating data received from CU admins in Flix format Collating mileage data for BCSL(erstwhile ML) & MHPL
- Other Activities Maintenance of HO vehicles Coordinating disposal of HO vehicles Monthly review meetings on vendor performance with ALD & CBU's Monthly accruals to finance
