 Telecaller cum Front Desk Receptionist

Job Description

This is a hybrid role where you'll be responsible to handle incoming/outgoing calls from the Doctor's clinic as well as being asked to manage the front desk from time to time as and when required. Please note this is not a sales profile. Freshers with good communication skills can apply.


Roles and Responsibilities

  • Calling & scheduling appointments for the doctor's clinic.
  • Receiving incoming calls and providing necessary feedback to patients
  • Greeting patients politely and ensuring that the appointment system is run efficiently, monitor the flow of patients to and from consulting rooms, managing queues through telephone and face-to-face interaction.
  • Ensure patients are informed if a doctor is running late or called out.
  • Ensure emergency/walk-in/urgent extras are monitored with appropriate guidance.
  • Advise patients of relevant charges for services, accept payment and issue a receipt for same.
  • Explain practice arrangements and requirements for new and temporary patients.
  • Respond to all queries and requests for assistance from patients and other visitors to the practice as appropriate.
  • Keep reception areas clean and tidy.

Management of appointment system

  • Calling & scheduling appointments for the doctor's clinic.
  • Maintain working knowledge of the appointment system i.e patient's visit & duration of the appointment, knowledge of computer system, the procedure for booking routine and urgent appointments.
  • Book appointments accurately and appropriately, initialing data entries.
  • Monitor daily available appointments and report any overload to supervisor as appropriate. Ensure sufficient appointments are blocked off for urgent and triage appointments.
  • Operation of the telephone system.
  • Receive and make calls as required. Divert calls and take the message as appropriate, recording information for Doctors to action (visits, phone calls, etc).

Information Security

  • Ensure that all patient interactions are dealt with confidentially and any confidential paperwork is dealt with in accordance with practice protocol.

Desired Candidate Profile


  • Proven work experience as a Tellcaller, Receptionist, Front Office Representative, or similar role
  • Proficiency in Hindi, Gujarati & English.
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Customer service attitude
  • High school degree and above
