Typically:
. Deals with a variety of complex questions, checks correctness of data and adjusts with many sources of information necessary. For example, liaises with local business representatives to manage expectations on service standards (catering, cleaning, waste management, hospitality, mail, plants, etc) works with service providers to achieve sustainable business improvements measures performance against set targets.
. Works autonomously, directly supporting management and specialists. Performs complex tasks within a variety of well-defined procedures and practices and is supervised on progress and results informs management about analysis outcomes.
. Advises internal stakeholders on topics related to own area of expertise. Interaction with others demands influencing and persuasion in a tactful manner to explain and advise on performed analyses of information.
Purpose & Accountabilities:
Real Estate (RE) delivers a competitive advantage to Shell through the application of leading-edge corporate real estate, corporate travel and business operations practices. RE's strategic intent is to enable the Shell Businesses to deliver on their goals by creating safe, secure, cost effective and productive environments that allow people to perform at their best. Real Estate delivers non-hydrocarbon physical infrastructure to Shell Businesses, projects and ventures manages the Group's property portfolio and office facilities. Shell's RE team of professionals has established a strong reputation for delivering portfolio strategies, commercial transactions, capital projects, facilities services, operations support and travel support to the various Shell businesses in all parts of the world. Therefore, RE continues to seek the best talent from across Shell to meet these dynamic business needs. Within RE, Operational Excellence (OE) is responsible for the strategy, implementation and management of RE's enabling infrastructure including systems, processes, data and assurance. OE is a key integrator with other Shell Functions and Businesses, for the delivery of their respective strategy and projects. OE improves and assures the RE Processes, drives and coordinates RE Continuous Improvement and delivers performance reporting across RE.
Real Estate (RE) FM System Analyst for SharePoint is a critical support for business success and a key part of the RE Information strategy & roadmap. The purpose of this role is to (i) develop application of SharePoint in RE, (ii) support data gathering & system integration and (iii) ensure high data quality & information risk management. The RE FM System Analyst role enables execution of the RE Information strategy & roadmap through application management, performance measurement and ensuring RE is connected on information across RDS. RE FM System Analyst owns, designs, monitors and integrates SharePoint performance to drive world class performance in RE with the right controls & assurance in-place. The role supports global RE teams, RE regions and business partners to ensure delivery of operational excellence in RE.
Building the community
- Provide jointly owned metrics & score cards (dashboards, linked to business performance outcomes).
- Assure that we deliver on our (RE) promises.
- Support the data & information management agenda in RE.
- Performs ETL [Extract, Transfer & Load] activities. Has an in-depth understanding of available toolset and understands the underlying data.
- Ensure that the systems and process are systematically aligned & integrated with stakeholders (suppliers & staff) and business partners that allows planning, monitoring and execution that promotes delivering one common vision and enables two-way communications for better business outcomes.
- Explore the connectivity between global groups and formalize how we integrate.
- Act as custodian to monitor performance through structured performance assessments that enables RE to drive for better business outcomes.
Working with and outside RE
- Connect the Global & Regional teams on common goals & delivery, as well identifying new opportunities.
- Act as custodian to support the Information & Data Quality Standards and Standard Operating procedures in RE.
- Supports a culture that encourages capturing & sharing learnings that drive better performance & greater value across RE.
Managing Stakeholders
- Support challenge based on actionable (accurate) information & data that drives strategic business decisions within and outside Real Estate.
- Be able to apply change concepts and principles necessary to effectively manage and influence the people-side of change and be able to identify, initiate and manage improvements required to achieve RE business goals as part of RE OE team.
Job Specific
- Create and modify SharePoint Custom Lists and Libraries
- Develop permission schemes and setting permissions for libraries, lists and sites
- Create and maintain site pages, including formatting and use of web parts
- Knowledge of InfoPath 2010 Create/maintain basic forms on top of custom lists.
- Knowledge of MS Access for creation and maintenance of large lists in SharePoint
- Working Knowledge of Power apps and Azure
- As a Functional Site Owner responsible for managing more than 300 FM sites
- Co-ordinate the Records Management & SharePoint Network (RSM) and ensure it is used effectively.
- Work closely with and support SharePoint, Records Management, data & Information focal points in different Functions on their Operational Excellence journey and ensure cross departmental learning's.
- Provide expertise, technical leadership and system & information knowledge to help embedding a professional Systems, Data & Information capability in the line.
- Mature the design and deployment of RE Data & Information model, roadmap, data usage matrixes, data mastership matrixes and data flow diagrams.
- Support data gathering, reporting and performance management.
- Develop and maintain data and information governance in the areas of: Application Platform, Data Quality and Ownership, Enhanced Integration & Collaboration and Innovative Information Development.
- Create/Maintain and cost and delivery effective IT/applications that facilitate the current business processes and information demand.
- Derive requirements from the Regions to deliver tooling that increases their Speed, Simplicity and Delivery.'
Skills & Requirements:
General
- Strength in safety behavior and can demonstrate a track record of Goal Zero - no harm no leaks
- University/bachelor's degree in related disciplines
- At least 5 years work experience in complex corporate environments in data & information related role.
- Proven track record in delivery of data & information improvements, systems & application management, working in multi discipline teams in challenging (virtual) environments
- Strong Knowledge of SharePoint application & development
- Good Knowledge of Power apps
- Good Knowledge of MS office
- Comfortable working with, and leading through uncertainty, complexity, ambiguity and incomplete information.
- Strong collaboration skills.
- Astute attention to detail and compliance mindset while demonstrating strategic thinking.
- Experience in working within a multicultural and multi-country environment is essential.

Additional comments:
  • The SBO RE team will provide support to the global portfolio, in general this will be working European hours with flexibility needed to attend occasional meetings outside of this time period.
