Executive Assistant {PA to director}
General Expectations:
The successful candidate will require high-quality co-ordination skills to provide administrative support to the executive team. As such, executive assistants function as an integral and indispensable part of the office.
An enthusiastic team player, can handle the day-to-day activities of our all our administrative tasks to ensure the rest of the staff has adequate support to work efficiently.
This is a unique, full-on role for an ambitious, motivated and go-getter candidate with a positive, can-do attitude. To be successful in this role, you should have solid organizational skills, communication skills and be familiar with HR functions and Admin requirements.
To qualify for this role, you should be -

Key Responsibilities:
- Act as the point of contact among executives, employees, clients and other external partners/Agencies
- Manage information flow in a timely and accurate manner
- Manage executives calendars and set up meetings
- Make travel and accommodation arrangements
- Rack daily expenses and prepare weekly, monthly or quarterly reports
- Oversee the performance of other clerical staff
- Act as an office manager by keeping up with office supply inventory
- Format information for internal and external communication memos, emails, presentations, reports
- Take minutes during meetings
- Manage and update internal employees databases in MS excel and MS word format
- Gather payroll data like bank accounts and working days
- Create, publish and remove job ads on digital platform e.g. LinkedIn
- Schedule job interviews and contact candidates as needed
- Assist colleagues whenever necessary
- Provide all necessary assistance and support to Directors as and when requested
Qualifications and Experience:
- Minimum 3 Years of Work experience as an Admin Officer, Executive Assistant or similar role
- Graduation degree
- Well-versed with MS Office
- Excellent Organizational and Leadership skills
- Excellent verbal and written communication skills in English language specially to communicate with outside agencies through emails and phone calls
- Good interpersonal skills to manage the internal team and outside agencies
- Familiar with using LinkedIn and other Job recruitment portals
Working Hours:
Regular Office Hours (10:00 am to 7:00 pm)
