Position Overview
  • The Service Delivery Assistant has accountability for delivering agreed services to IB business group, focusing on achieving consistent operational excellence and client/user satisfaction, leveraging agreed improvement strategies and use of technology to ensure Service Delivery and Operations are fully aligned and integrated. The Service Delivery Assistant is accountable for work stream performance outcomes within their assigned client group. They will deliver operations, working closely with client management and product management, initiative delivery and COO colleagues to ensure client satisfaction, achievement of business goals and appropriate management of risk. The Service Delivery Assistant is accountable for supporting implementation of continuous improvement initiatives, for delivering assigned aspects of agreed transition projects and for delivering services, in conjunction with local vendors. The Service Delivery Assistant will develop and maintain positive relationships with managers within the business.

Your key responsibilities
Responsible for performing daily IB US front desk activities and volume share during US work hours. Activities to be performed includes:
  • IB Travel Approvals - Review of pre-trip travel request for approvals as per global and regional policies. Insuring all controls and checks as per SLA and process document.
  • Db-Buyer processing - Creating purchase requisition (PR), Invoice reconciliation and goods receipt (GR).
  • Experience in Source to Pay Operations and its tools would be an advantage.
  • Knowledge of GTAS, db-Buyer (Ariba), DBPACS, DB Approve, P2P payments systems would be an advantage.
  • Expected to hold strong reporting capability using MS Office applications (PPT, Excel and Visio).
  • Ensure completion/adherence of activity as per standard procedure/key operating procedure.
  • Ensure quality/quantity of processing is maintained as per the Service Level Agreement.
  • Use of good communication skills both verbally and written for query response, resolution and quality inputs.
  • Liaise with the Onshore / Service recipients and ensuring that the process is running as per the procedures and standards laid down.

Your skills and experience
  • Support supervisor in supervising the team and attend meeting/conference call with different departments when necessary
  • Work independently in solving new problem which may arise from time to time and escalate to supervisor as necessary
  • Proactively communicating with different departments to discuss issues when necessary
  • Actively engage in new project / UAT testing to enhance our process and objective of optimizing automation.

Experience/Exposure
  • University graduate or candidate with 1 or 2 year working experience within middle office / operations experience in Bank/Financial Institution.
  • Good with numbers and a good team player
  • Self-initiative and to be work under pressure/overtime
  • Willing to learn and take on additional challenges
  • Fluent in English, Cantonese and Mandarin
  • Good communication skills (oral and written) and interpersonal skills.
  • Good PC knowledge: Microsoft Excel, PowerPoint and Word.
