In this role, you will be responsible for the calendar management of the global leaders assigned. Take care of the travel including the flight, cab and stay reservations. Work with the leaders on the arrangements of the Townhalls, VC s. Take care of the logistical help like Meeting room bookings, Food and Beverages, corporate lunch, Negotiated rates etc. Work on the expense management of the leaders as and when there is a travel

Responsibilities
  • Calendar Management: Conflicts, Book Rooms, VFM, VC Rooms, Seating, Dial-In, Escort visitors. Set up meetings for the interviews of the candidates to the 1-0-1s of the team members
  • Travel, T & L Concur Bookings, Tickets, Cab bookings, Visa applications, Forex, Insurance, Hotel bookings, Concur reimbursements, Upload bills on Concur. Also help the Leaders DRs with their bookings, reimbursements, Flight changes/Missed flights/Hotel changes, etc. Corp card limit increase requests.
  • International travel: Liasioning with the local employees and get the bookings done. Understand the policies and the system of the international travels and accordingly do the job.
  • Logistical arrangements: Meeting Rooms /Logistical arrangements, workshops, Townhalls, VCs, Food and Beverages, Strategy meet arrangements Session, corporate lunches, negotiate rates, vendor management, coordinate with the logistics team for appropriate approvals. Client visit management (includes client badging, welcome, car/hotel booking, general assistance, etc)
  • Conferencing arrangements, etc
  • Relationship Management with Employees, peer groups within the function, other leaders, and the employees reporting to the assigned leader
  • Responsible for effective communication and proactive approach toward problem-solving
  • Specific ownership for leaders assigned
Qualifications we seek in you

Minimum qualifications

  • Graduate/Postgraduate
  • Good MS office skills, especially Excel, ERP tools
Preferred Qualifications
  • Full comprehension of the office management system and procedures
  • Sound knowledge in Hard and Soft client services, e.g. travel arrangements, logistics arrangements, etc.
  • Positive Relationship Management and communication skills able to present and influence at a high level.
  • Proficiency in the English Language
  • Commitment to and experience of handling the above with minimal intervention
  • Self-motivated great teammate, who has energy and drive, and motivation
  • capable of operating in a dynamic environment, ready to work in any shift
  • Ability to multi-task and prioritize daily Workload
  • Well-developed strategic, analytical, and problem-solving skills
