Job Description

Summary of the Position

This position involves the procurement of goods, services, and other commercial activities for USP India. The responsibilities include organizing purchase activities involving records of receivables, supplier management, evaluation, and communication. Coordinate with vendors, service providers for the order fulfillment process and its recordkeeping. Assist with Internal and third-party audit requirements and fulfilments. Goods services certified Invoices submission to F A for the payment process. Generate periodical reports and MIS. Organize and maintain Procurement Logistics documents as per SOP/ Audit compliance. The overall objective of the role is to provide goods and services on time to the testing laboratory and working under the guidelines of cost allocations and target timelines for the site while having enough controls and efficient practices in place.

Roles and Responsibilities

  • Procurement of Laboratory Chemicals, Columns, APIs, Intermediates, Impurities, Glassware, Lab Consumables, etc., from the domestic and international market.

  • Procurement of Laboratory Instruments/Equipment from the domestic and international market.

  • Execute Requisition to Pay (RTP) process as per USP guidelines and SOP.

  • Close interaction with internal and external USP stakeholders to understand their needs/demands and fulfillment.

  • Identification of the potential sources of vendors for required goods from the domestic as well as overseas market.

  • Facilitate end-users with budgetary quotations from domestic and overseas vendors in a timely manner.

  • Strive to achieve maximum cost savings and beneficial terms through effective negotiation.

  • Expedite material deliveries and follow-ups with vendors/service providers on daily basis.

  • Prepare and submit periodic MIS and any other ad-hoc reports.

  • Invoice submissions to Finance Accounts and follow-up for vendor payments.

  • Organize and maintain Procurement documentation, records under USP s Purchase SOP.

  • Support with audit requirements and fulfilments as per USP guidelines Quality Management Systems.

  • Support logistics, Export Import domestic and international shipments tracking, customs clearance, documentation, and delivery to USP India site.

  • Process customs duty payments and other bills whichever applicable in Procurement Logistics activities.

  • Liaising with Internal External Stakeholders, Consultants, Customs House Agents towards shipment clearances.

  • Support for Logistics documentation and audit requirements under USP compliance.



Basic Qualifications

Preferably a Science graduate or Any Graduate from a Recognized University/Institute with a proven experience of 05 to 07 years in Purchasing/SCM domain. The candidate must have working experience in Pharmaceutical/Life Sciences CRO, Drug Discovery units.
