Purpose RE process Specialist supports the successful migration of work from Shell business units in various locations across the world to Shell Business Operations.. The purpose of this role is to deliver effective & compliant payment processes.

Accountabilities:

Building the community
- Provide jointly owned metrics & score cards (dashboards, linked to payment on time and other KPIs).
- Assure that we deliver on our (RE) promises by paying the vendors on time for services/goods delivered.
- Support the data & information management agenda in RE (acquire, retain and transfer of information).
-- Act as custodian to monitor performance through structured assessments that enables RE to drive for better business outcomes.
- Support transition of activities from several RE managed sites into SBO from across globe to successful completion. Working with and outside RE
- Connect the Global & Regional teams on common goals & delivery, as well identifying new opportunities.
- Respond to support requests from vendors and stakeholders. Advise on "how to" questions, and issues, resolve application issues.
- Provide guidance on the setup and usage of applications, verify information received from the sites and ensure quality.
- Maintain training materials and desk top procedures up to date.
- Raise incident and problem tickets with IT for various ERPs. Track resolution and escalate when appropriate. Communicate status to end users. Verify solutions from IT.
- Gather functional requirements from users or from own experience.

- Supports a culture that encourages capturing & sharing learning that drive better performance & greater value across RE.
- Consider the implications of changes and challenge where necessary. Managing Stakeholders
- Support challenge based on actionable (accurate) information & data that drives strategic business decisions within and outside Real Estate.

Job specific:

Co-ordinate the Records Management & SharePoint Network (RSM) and ensure it is used effectively.

People and operating model
RE Process Specialist will report to RE SBO Operations Process Lead to sustain and improve high quality processes through partnering with the colleagues in Real Estate, Finance and Contracting & Procurement. Information & Data, IT systems/Apps
RE Process Specialist ensures that data in RE is credible, reliable, readily available, and used to generate insights to drive better decision making in RDS and RE. Supports:
- Data Gathering & Publishing
- Data Analytics
- Knowledge Management Process and assurance
- The role focuses on completing the migration of activities to SBO for the end-to-end invoice payment process, RtP (Request to Pay), in accordance with Group standards
- Active membership of the global community to develop best practice for RtP through optimising the process, embracing new systems and troubleshooting.
- Supports the establishment of a sustainable continuous improvement culture in the organization.
- Lead and support the development, innovation, communication and consistent application of all RtP activities.

Accountabilities
RE Delivery of Results - Delivery of the RE Functional Plan Job Specific - Deliver seamless RtP processes , resolve payment issues across the process to ensure that agreed payment terms are achieved and that working capital is optimised
- To deliver flawless execution of the end-to-end payment process RtP (Request to Pay) through the various SAP systems
- Understanding and driving toward a standardised approach to Outline Agreements, Purchase Orders and Invoice Coding (ITOCC)
- Defining and delivering an effective process that engages across multiple interfaces with RE, CP, Finance Operations staff to ensure seamless delivery through high levels of process knowledge, both within SBO & RE teams
- Early adoption and skill in new system solutions such as Ariba SAP portal that will enable effective processes
- Problem solving to understand & resolve process blockers e.g. supplier, system, people
- Application of Continuous Improvement to ensure process efficiency and to guarantee Shell payment terms are adhered to
- Support assurance & compliance through managing documentation, interface with RE budget holders to ensure payments are correctly approved & processed Position description
- Dimensions Part of the wider team of 11 Process Specialist. Individual contributor role. Currently responsible for RE RtP processes for FM, CT, VPI, CDP working closely with stakeholders from RE locations globally and colleagues from SBO manila and Chennai. Position description
Additional comments
The SBO RE team will provide support to the global portfolio, in depending on the tasks assigned, it is required to work either in Asia/Oceania, European or American hours with flexibility needed to attend occasional meetings outside of this time period. Experience and Qualifications required
General

Strength in safety behavior and can demonstrate a track record of Goal Zero no harm no leaks.
- University/bachelor s degree in related disciplines
- At least 3 years work experience in complex corporate environments in data & information related role.
-- Proven track record in delivery of data & information improvements, systems & application management, working in multi discipline teams in challenging (virtual) environments
- Comfortable working with, and leading through uncertainty, complexity, ambiguity and incomplete information.
- Strong collaboration skills.
- Astute attention to detail and compliance mindset while demonstrating strategic thinking.
- Experience in working within a multicultural and multi-country environment is essential.
- Can demonstrate external focus, simplicity and speed of delivery.
- Value creating mentality and creativity.
- RE Site Operations exposure or experience is an added advantage.

-Hands-on experience on SERP/GSAP/Blue Print finance tools that is widely used in RDS People Skills
- A professional with broad data & information skills.
- A track record of delivery, self-starting with the ability and courage to initiate manage change.
- Good interpersonal and communication skills
- High energy level individual, with the determination of seeing things through and succeeding.
- Appreciation for cultural diversity, with excellent reputation in dealing with staff of multiple nationalities

Challenges :

transition of RtP activities from regions requires ability to quickly gain required knowledge from regional analysts, be self sufficient and reliant on own skills and process knowledge in order to reduce hyper care and complete transition as per the plan.
