Job Description
Helpdesk PA, Source to Pay You re responsible to work across a variety of categories so will need to demonstrate a broad range of category knowledge and be able to work dynamically and flexibly with a broad range of SMEs. Responsibilities- To help the requester on their queries related to Coupa system
- Validate overall terms (e.g., payment, shipping/freight) and conditions prior to dispatching the Purchase Order, and add appropriate special comments as needed for PO exceptions
- Review each Purchase Order approval workflow according to Client Purchasing Policy thresholds
- Validate approval workflow for Free Text Requisitions using a random sample on a monthly basis and provide report to Client
- Maintain, extract, and report data on Purchase Orders processed including but not limited to spend amounts, suppliers used, and approvals needed as required for Client internal purposes
- Rework any transactions that initially resulted in an error during transmission
- Advise Supplier Data Management of any communication updates vital to the supplier file due to the dispatch failure (e.g., incorrect contact information for supplier)
- Review supplier order acknowledgements and ensure Client is adequately protected from a financial and legal standpoint
- Advise requestor of order changes impacting business (e.g., delivery dates, price)
- Work with appropriate Client to acquire appropriate guidelines and elevate exceptions and supplier issues, as needed
- Make changes to Purchase Order as needed on behalf of requisitioners when supported by vital approvals, and note comments on Purchase Order header, as appropriate
- Maintain PO After Fact (POAF), Non-Compliant Vouchers (NCV), No-PO, No-Pay exception list and generate monthly report.
- Build internal menu to catalog indirect goods and services and preferred suppliers. Add/delete items as the need arises by Client
- Any graduate degree or equivalent with a good academic record.
- Good communication and analytical skills.
- Previous experience in Procurement & Sourcing.
- Effective probing skills and analyzing / understanding skills.
- Problem solving skills with customer centric approach, demonstrated proficiency with written English and with neutral English accent.
- To work on a flexible schedule.
- Basic Excel & PPT skills.
- Knowledge of Coupa System
