Job Description

Position Title: Executive Secretary to the Chairman and Chancellor Location: Bangalore Summary: The Executive Secretary to the Chairman and Chancellor plays a pivotal role in providing comprehensive administrative support to the Chairman and Chancellor of the University. This individual will oversee a wide range of administrative duties, ensuring the smooth functioning of the Chairman and Chancellor's office and contributing to the efficient operation of the University as a whole. The ideal candidate will possess exceptional organizational skills, discretion, and the ability to handle confidential information with integrity. Responsibilities: Administrative Support: Manage the Chairman and Chancellor's schedules, appointments, and travel arrangements. Coordinate meetings, conferences, and events, including agenda preparation, venue booking, and logistics. Prepare correspondence, reports, and presentations on behalf of the Chairman and Chancellor. Maintain accurate. records and files, ensuring easy access to relevant information when needed. Communication and Liaison: Serve as the primary point of contact for internal and external stakeholders seeking access to the Chairman and Chancellor. Screen and prioritize incoming communications, including emails, phone calls, and visitors. Facilitate effective communication between the Chairman and Chancellor and other University departments, faculty, staff, and external partners. Confidentiality and Discretion: Handle sensitive information with the utmost confidentiality and discretion. Maintain confidentiality regarding discussions, decisions, and actions taken by the Chairman and Chancellor. Exercise judgment and discretion in determining which matters require the attention of the Chairman and Chancellor. Documentation and Record Keeping: Prepare and distribute agendas, meeting minutes, and other documentation for Board of Trustees meetings, executive meetings, and other high-level gatherings. Maintain an organized filing system for important documents, ensuring easy retrieval as needed. Assist in the preparation of reports, presentations, and speeches for the Chairman and Chancellor. Special Projects and Initiatives: Undertake special projects and initiatives as assigned by the Chairman and Chancellor, which may include research, analysis, and coordination of university-wide activities. Collaborate with other administrative staff and departments to support the successful completion of projects. Office Management: Oversee the day-to-day operations of the Chairman and Chancellor's office, including managing supplies, equipment, and facilities. Coordinate with support staff to ensure the office environment is welcoming and professional. Qualifications: Bachelor's degree in Business Administration, Public Administration, or a related field preferred. Proven experience in an executive administrative role, preferably supporting senior-level executives or university leadership. Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines. Strong written and verbal communication skills, with the ability to interact professionally with individuals at all levels. Proficiency in office productivity software (e.g., Microsoft Office Suite) and familiarity with office equipment. Demonstrated ability to maintain confidentiality and exercise discretion in handling sensitive information. High level of professionalism, integrity, and interpersonal skills. Flexibility and adaptability to work in a dynamic environment and respond effectively to changing priorities Job Types: Full-time, Permanent Salary: 12,362.68 - 52,187.87 per month Benefits: Cell phone reimbursement Provident Fund Schedule: Day shift Yearly bonus Experience: total work: 4 years (Preferred) Work Location: In person Expected Start Date: 05/04/2024
