Job Description

We are looking for an experienced Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our companys general administrative activities.

Responsibilities:

  • Provide administrative support to ensure efficient operation of the office.
  • Answer phone calls, schedule meetings, and manage visitors.
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Facilitate operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Make travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
  • Answer and respond appropriately to communication via phone, email, etc.
  • Support team by performing tasks related to the organization.
  • Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  • Provide information by answering questions and requests. Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Contribute to team effort by accomplishing related results as needed.
  • Take care of all external work like but not limited to banking, e-stamp & notary, ext.
  • Support the HR team in filing, collecting documents, logistics, etc.

Qualification -

  • Graduate
  • 2-3 years of Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
