Job Description

The ideal person for the job will be a proactive problem solver with exceptional communication skills, meticulous attention to detail who can execute deftly with a high level of professionalism and confidentiality. Prior experience in a similar role or work in a C-Suite office will be preferred.

Responsibilities:

  • Lend support to the Senior Leadership team as directed to ensure that company goals and objectives are accomplished and operations run efficiently.
  • Work closely with the Senior Leadership team to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Manage communication between Management and employees and liaison with internal and external executives on various projects and tasks.
  • Plans and orchestrate work in a manner that helps senior executives to ensure organizational priorities are met.
  • Manage professional and personal scheduling of meetings/ appointments for Senior Leadership team, specifically managing agenda, email calls.
  • Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed.
  • Assist with research, browsing reading of documents, analysing information etc to enable the Senior Leadership team to be more productive.
  • Manage content and the flow of information to senior executives.
  • Evaluate and assist in developing office policies and procedures for improved work flow.
  • Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation.
  • Manage, coordinate, and arrange senior executives travel including airline and hotel bookings, transportation, meal coordination, logistics for meetings, presentations and offsites.
  • Replenish office materials such as snacks, printer office supplies.
  • Provide administrative and office support, such as creating documents, managing filing and contact database among others.
  • Maintain professionalism, strict confidentiality and exercise discretion when interfacing with the Executive team and other parties.
  • Record Minutes of meeting and circulate as required.
  • Greet clients/visitors, assist them with any requirements and maintain cordial relationships.
  • Manage petty cash reimbursements and reconciliation
Qualifications
  • Minimum graduate.
  • 4-6 years of work experience with a C- Level Executive
  • Excellent written and verbal communication skills
  • Strong time-management skills and the ability to multi-task
  • Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new Software and systems
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
  • Ability to keep company confidences.
  • Ability to complete a high volume of task with little or no guidance.
  • Experience overseeing budgets and expenses
  • Experience developing internal processes and organizing systems
