As a Front Desk Executive you are accountable and responsible for your clinics:
Clinic Management System
KRA and JD of yourself
Client care and welfare
Staff care and welfare
Grievances operational and from clients
Stock Inventory Report
Cash handling
Sale of retail products/Home care kit
To ensure the client data is filled in CMS on time
Photo tagging
To ensure all the calls are handled efficiently and no call is missed , All the clients to be called back in case you are busy
To ensure checklists of each areas are filled and duly checked (Signed)
Front Desk Executives need to stand up to greet clients
To follow Barcode system for retail products
Reporting to National Head for day to day operations
The following points need to be adhered to and followed strictly.
DAILY DUTIES
Report to your designated clinic at the designated time.
Punch in attendance in machine on entering clinic.
Adhere to the grooming protocol- Post Lunch touchup is compulsory, using deo and mouth fresheners, Nails should be short and nail polish to be in proper condition.
Proceed to Manager/Asst. Manager for grooming inspection
Answer Calls for appointments & general enquiry.
Picking up the phone calls in 3 rings
Schedule, reschedule appointments and verifying the accuracy on a daily basis.
Welcome client and ensure they are taken care of and guided correctly.
Make proper bills for the services rendered.
Attend to client queries and guide them to their respective doctor or therapist.
Ensure smooth, efficient and quick processing of Front Desk Operations.
Download client photos and tag them with the doctor.
To save photos in treatment wise folders on computer
Maintain medical record cards (removing before client arrival & keeping back after client departure).
To ensure the clients forms or cards are kept in order and filled properly
Communicate all sales promotion offers & services of SkinLab to the clients.
Ensuring all stock and HR reports are completed with the manager.
Ordering, monitoring and maintaining appropriate clinic stocks of products.
Check and reply to official emails regularly at least thrice daily.
Handle client grievances.
Ensure maximum and optimum utilization of clinics resources to ensure profitability.
File medical records, consent forms, photographs and other clinic documentation.
Tally cash at the end of the day and make the summary report.
Handing over duties to another FDE in your absence.
Attend refresher training programs organized by HO
Adhere/follow and implement all instructions issued to you by SkinLab management.
